EXECUTIVE ASSISTANT – SALES & MARKETING

ABOUT THE OPPORTUNITY


The Executive Assistant to the Chief Revenue Officer (CRO) and VP of Corporate Communications & Marketing is an essential support role for the Sales and Communication Organizations. In this role, you will be expected to be strategic and help implement key initiatives across the organization.

Utilizing your excellent organizational, interpersonal and communication skills, you will act as a liaison between the organizations you support and company executives, managers, consultants, and customers. Your high level of proficiency with Microsoft Office applications and Outlook will be invaluable, as well as your focus on detail, excellent follow-through, and ability to effectively prioritize work, as you efficiently manage/coordinate simultaneous projects and successfully prioritize tasks. The ideal candidate will be expected to work independently with good judgment and minimal direction.


Responsibilities

  • Help plan and attend staff meetings, keep minutes, document action items, organize follow-up activities, and check in with various team members between meetings.
  • Coordinate and/or distribute any pre-reads/outside materials.
  • Coordinate the execution of strategic initiatives and key projects with the VP’s direct reports and ensure they remain focused and meet deadlines.
  • Assist the VP in effectively maximizing schedule/calendar/time. Ability to juggle complex and fluid scheduling around meetings, presentations, travel, customer engagements and interviews while remaining calm under pressure.
  • Own the schedule across multiple time zones for VP of Sales and VP of Telecom Sales.
  • Write first drafts of emails, proposals and other communications.
  • Experience and ability to plan, manage and execute a wide variety of events from start to finish (off-sites, team meetings, meals, parties, etc.) within a prescribed budget.
  • Extensive travel planning – both domestic and international. Prepare travel plans and expense reports for VP and direct reports as requested
  • Manage various projects as needed and when they arise unexpectedly.
  • Prepare and modify documents including meeting agendas/notes, correspondence, reports, presentation slides, emails, etc.
  • Participate in purchase order process, monitor budgets and handle other accounting related activities as needed
  • Support recurring meetings and ongoing key duties of the CRO and VP


ABOUT YOU

Experience
& Skills

  • Demonstrated success as an Executive Assistant working in support of a VP of Sales or Chief Revenue Officer with experience with sales forecasting, quarterly deadlines, engaging with direct reports/sales team leaders, legal, sales operations, and customer support, as well as the demands and pressure on the executive as leader of a global sales organization.
  • Self-motivated, highly organized, and super proactive approach with a strong work ethic
  • Flexible and comfortable in a fast-paced environment
  • Proficiency in MS Office suite (Word, Excel, PowerPoint)
  • 5+ years of experience as an Executive Assistant
  • Knowledge of standard office administrative practices and procedures
  • Proficiency in managing multiple expense reports
  • Skilled in all aspects of planning and project management; able to take an idea from concept to completion
  • Solid research skills, creative problem solver and exceptional attention to detail
  • Ability to effectively manage competing priorities, follow through and consistently deliver against objectives
  • Experienced handling highly sensitive information with the highest degree of integrity, good judgment, and confidentiality
  • Excellent interpersonal, verbal, written communication, and presentation skills.
  • Reliable, tolerant, and determined
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external customers
  • Bachelor’s Degree is highly desirable

Compensation

The annual base salary range for this role’s listed grade level is currently $90,400 to $122,040 plus a bonus for Colorado, New York, and New Jersey residents, and $104,800 to $130,490 plus a bonus for SF Bay Area, Greater Seattle, NYC, and Washington, DC, residents. Salary ranges are determined through interviews and a review of the education, experience, knowledge, skills, location, and abilities of the applicant, and equity with other team members. Employees in this role are also eligible for the following benefits in accordance with the terms of the Company's plans: health, dental, vision insurance, life insurance, flex time off, eligibility to enroll in 401k, and 12 paid holidays.
