Job Summary

The Executive Assistant is a critical role within the organization who provides support to the CEO and senior leadership team. Responsibilities include administrative support, assistance with board activities, support for projects, physician recruitment and fundraising activities, as well as routine office related functions. This role ensures the effectiveness and efficiency of the senior leadership team.

Essential Functions/Responsibilities

  • Demonstrate behaviors that align with Johnson Memorial Health Services’ Core Values: Together, Kindness and Trust.
  • Maintain the highest level of confidentiality and handle sensitive material concerning the facility, the CEO, and the Board of Directors.
  • Interface well with Board of Directors, Medical Staff, CEO, and all departments within the facility and to represent JMHS in a highly professional manner.
  • Prepare agendas, notices, minutes, and resolutions for JMHS Department, JMHS Board, JM Foundation Board, and other meetings.
  • Schedule, prepare reports, maintain licensures, manage contracts, and provide support for JMHS Guest Suites and Guest Reservations.
  • Complete a variety of special projects as assigned by the senior leadership team including preparing PowerPoint presentations and financial spreadsheets.
  • Provide administrative support to the CEO and Senior Leadership Team in a variety of capacities including phone/email coverage, copy/scan projects, mail handling, processing of letters/correspondence, events/meeting planning, report generation, invoice/expense reporting, and assisting with completion of specially assigned projects.

Education/Experience/Licensure

  • 3+ years in an administrative/coordinator position required
  • Associate’s degree in a related field preferred
  • Highly proficient in Microsoft Word, Excel, Outlook, Teams, and PowerPoint

Working Environment/Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer and standing, bending, and moving. Must be able to lift to 15 pounds at times.
  • Availability some evenings and/or weekends to support company activities
