Job Summary:
Our client is seeking a highly motivated Executive Assistant to provide comprehensive support to a Senior Partner. As the Executive Assistant, you will be the right-hand person to our partner, ensuring smooth operations, handling critical tasks, and managing various administrative responsibilities. This role requires utmost confidentiality, professionalism, and adaptability to thrive in the dynamic legal environment. THIS JOB HAS THE ABILITY TO GO HYBRID AFTER 90 DAYS.
Responsibilities:
- Executive Support: Act as a primary point of contact and gatekeeper for the partner. Manage emails, calls, and appointments efficiently, ensuring the partner's time is optimized.
- Calendar Management: Maintain and coordinate the partner's calendar, scheduling meetings, conferences, and events while proactively handling conflicts and adjustments.
- Travel Arrangements: Arrange complex domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Document Management: Draft, edit, and proofread various documents, including correspondence, contracts, presentations, and reports.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion, ensuring the highest level of confidentiality.
- Meeting Support: Prepare materials and agenda for meetings, take minutes, and follow up on action items to ensure timely completion.
- Client Relations: Interact professionally with clients, attorneys, and stakeholders, maintaining a positive and respectful demeanor.
- Project Coordination: Assist in special projects and initiatives, collaborating with other teams within the firm to achieve objectives.
- Ad Hoc Tasks: Be prepared to take on various ad hoc assignments and support the partner in any necessary capacity.
Requirements:
- Experience: 3+ years of proven experience as an Executive Assistant supporting high-level executives or partners in a law firm or professional services setting.
- Education: Bachelor's degree or equivalent qualification in a relevant field is preferred.
- Exceptional Organization: Impeccable organizational and time-management skills with the ability to prioritize tasks effectively.
- Communication: Strong written and verbal communication skills, including professional phone etiquette.
- Tech-Savvy: Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.
- Adaptability: Demonstrated ability to thrive in a fast-paced environment, handling multiple tasks with attention to detail.
- Discretion: A high level of integrity and discretion in handling confidential information.
- Problem-Solving: Resourceful and proactive, capable of resolving challenges with a positive attitude.
