Responsibilities:
- Efficiently manage the schedules of our executives, anticipating their needs and ensuring they are prepared for critical events.
- Coordinate office operations and time management in a fast-paced environment, including scheduling meetings, appointments, and managing calendars and travel itineraries.
- Handle correspondence, draft responses, and assist with email management.
- Plan and coordinate internal and external meetings, conferences, teleconferences, and corporate events.
- Facilitate travel arrangements and meeting coordination.
- Prioritize phone and email correspondence and inquiries.
- Interact with clients, potential clients, artists, and high-level visitors in person, by telephone, or email.
- Prepare corporate documents and presentations, including media interview preparations.
- Assist with meeting preparation, coordination, and note-taking.
- Submit expense claims in a timely manner.
- Coordinate special projects, ensuring deadlines are met.
- Provide coverage for phone lines and collaborate with other Executive Assistants as needed.
- Maintain confidentiality and build relationships both internally and externally.
- Perform additional duties as assigned.
Requirements:
- Bachelor's degree Required.
- Master's degree Preferred.
- Proven experience of at least 5 Years as an Executive Assistant or similar role.
- Proficent understanding of the Music Business and Industry.
- Excellent organizational and time-management skills.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Exceptional communication and interpersonal abilities.
- Proficiency in Microsoft Office 365 and other relevant software.
- Ability to handle sensitive information with confidentiality.
- Flexibility and adaptability to changing priorities.
- High level of professionalism and integrity.
