Job Description
o Working with other assistants to find times that work for all higher level leaders
o Managing conflicts that may arise on the calendar
Event/Meeting Planning
o Working with senior leadership to plan details of meetings and outings including all travel arrangements, transportation options, food plans, presentation ideas, timeline/schedule, etc.
o Creating calendar invites, managing attendance for the events, organizing catering orders, setting up the conference rooms with audio, catering, and visual as needed
o Arranging welcome lunches, welcome breakfasts, and other lunch or breakfast meetings
Expenses
o Create expense reports, managing receipts from leadership travel, submitting reports weekly/monthly (as needed) for non-corporate card charges
o Keep track of all fees related to corporate card
Special Projects
o Assist when possible during urgent technical issues that may arise, including issues with calendars, or accessing applications. This includes also getting in touch with IT on behalf of Jeff to get any issues fixed
Calendar Management
o Scheduling meetings providing managers availability to others
o Move meetings as requested
Expenses via OKTA /Concur
Monthly time approval
Bi-Weekly report
o A clean report needs to be posted every other week so that the team may go in and update the document in a timely matter.
o Accessing the template and the archive:
o Provide PowerPoint/Excel/Word assistance to Alex
Support team of corporate/commercial lawyers in certain admin functions:

o Update Vacation Calendar for Global Corporate Commercial Law Group
o Post bi-weekly Corporate and Commercial Law Group Updates Document on the Global Corporate Commercial Law Group QShare
RATE RANGE: 25-30/HR (based on experience)
