About the Executive Administrative Assistant:
MarketStar currently has an opportunity available in the Ogden office for an Executive Administrative Assistant to provide administrative support to the CEO and other members of the executive team. This person must meet stringent deadlines and engage positively with the organization with a superior degree of professionalism, precision and creativity. The ideal candidate will have strong administrative and communication skills and enjoy working in an intense, client-focused environment.
Location: Ogden, Utah
What Will You Do?
- Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Develop and manage strategic planning priorities and the corporate calendar
- Prepare agendas, coordinate participants, track action items, make arrangements for, and participate in executive team meetings
- Prioritize tasks and ensure timely and thorough execution and follow through on strategic and tactical projects for the CEO
- Collaborate with cross-functional teams in planning onsite and offsite meetings and events for the organization
- Continuously improve processes and propose solutions to identified problems
- Develop and review internal and external messaging including presentations and employee-engagement communications, community partner messaging, and investor relations decks
- Act as a positive liaison for the CEO with employees, company leadership, clients, partners and investors
- Anticipate the needs of the CEO and facilitate solutions
- Interface with external client and partner contacts while maintaining a high level of professionalism and confidentiality
- Processes purchase orders, supply orders, expense reports, travel requests and time cards as needed
What Will You Need to Succeed?
- Four-year college degree or completion of a specialized course of study at a business or trade school or completion of a specialized and extensive in-house training or apprenticeship program
- 5-8 years of similar or related experience as an Executive Assistant with preference to candidates with prior CEO administrative support experience in a global, highly decentralized business
- Highly skilled with Microsoft Office tools such as OneNote, PowerPoint, Word, and Excel
- Experienced with project management and process documentation/creation
- Experienced in managing communications for senior executives
- Ability to effectively present information and respond to questions from groups of managers, clients, and the general public
- Excellent organization and follow-up skills and an ability to work independently to facilitate the objectives of the executive office
- Excellent verbal and written communications skills including proofreading/editing
- Skilled at social media engagement
- Strong interpersonal and teambuilding skills
- Ability to quickly grasp complex technical and business concepts and express them clearly to others
- Flexible and open to changing priorities and managing multiple tasks simultaneously within compressed timeframes
