Foot and Ankle Specialists is looking for a well-organized Administrative Assistant to provide support for our department heads. This is a great opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization. We are looking for someone who pays attention to detail, is dependable, is organized, and demonstrates professionalism with their conduct.
Responsibilities:
- Completing operational requirements assigned and administrative projects, thus expediting work results.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Answer phones
- Schedule appointments and maintain calendars
- Schedule and coordinate staff and other meetings
- Collate and distribute mail
- Prepare communications, such as memos, emails, invoices, reports and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Qualifications:
- High school diploma or equivalent
- Proficient with Microsoft Office 365 (Teams, Outlook, Excel, Word)
- Strong computer literacy
- Excellent Problems solving skills
- Self Starter, who works well independently and within team settings
- Ability to work with people in a team environment
