As our Executive Administrative Assistant, you'll be more than just support; you'll be a cornerstone of our operations. Your day-to-day will involve:
- Subcontractor and Project Support: From management to scheduling and follow-up.
- Financial Oversight: Handle billing, invoice processing, and prepare construction invoices with an eye on details like G702, G703, Lien Waivers, and Certificates of Release.
- Operational Excellence: Engage in dispatching, material ordering, and manage haul/trip tickets with precision.
- Administrative Mastery: Excel in clerical duties, data entry, record management, document creation, and more, ensuring our office runs smoothly.
- Communication Hub: Manage emails, calendars, and phone calls, providing exceptional customer service.
- Networking and Event Facilitation: Occasionally attend networking events and engage in minor event planning to foster community connections, enhance organizational visibility, and contribute to strategic outreach efforts.
- A resilient, adaptable team player with a positive attitude.
- Someone with at least 2+ years of administrative experience, proficient in MS Office & G-Suite, and bonus points for QuickBooks Online expertise.
- A multitasker with excellent customer service, problem-solving skills, and attention to detail.
- Able and willing to become a licensed Notary Public
