The proposed Orlando College of Osteopathic Medicine (OCOM) is seeking an Executive Assistant to join our team in the Office of the Chief Financial Officer. This role will provide high-level administrative support to the CFO including, but not limited to, preparing, processing, and editing financial and operational information, proactively managing calendar and creating correspondence, event planning, and travel arrangements. Requirements
- Provide executive assistance in resolving administrative questions and issues related to the Chief Financial Officer's office; ability to interact with high-level executives and work in a fast-paced environment.
- Prepare and/or coordinate the preparation of correspondence, forms, reports, presentation materials, and other written communications as required.
- Process invoices for payment, process procurement card statements and responding to inquiries regarding payment of invoices.
- Schedule and coordinate meetings, conferences, special events, appointments, and travel arrangements.
- Prepare, process, and edit financial and operational information, data and documents, including materials necessary for meetings, special projects, and reports.
- Organize and maintain confidential records and files; ensuring security and confidentiality.
- Review, proofread and edit documents; ensure work product quality by reviewing reports forms, records or other materials for content, completeness and accuracy; ensure proper grammar, punctuation, spelling and usage as well as appropriate distribution and archiving.
- Exhibit sound judgment with the ability to prioritize and make decisions.
- Prioritize, receive, and screen visitors, and telephone calls.
QUALIFICATION(S):
- Education and/or progressively responsible experience equivalent to a Bachelor's degree in a related field.
- An energetic individual with excellent customer service skills, must be highly motivated and detail oriented with the flexibility to multi-task while concurrently working on several projects with competing priorities and deadlines, and the ability to change direction as needs require.
- Demonstrated ability to exercise sound judgment, handle confidential matters with tact and a high degree of discretion.
- Must possess strong oral/written communication skills and technical expertise in business management tools including spreadsheets, word processing, and presentation tools; proficient at editing/updating web-based information.
- Demonstrate ability to interact with individuals from different cultures and professional backgrounds, and exercise "people skills" verbally and written.
. Physical/Mental/Visual Demands and Work Environment:
- Approximately 90% of this position's duties require use of a computer
- Must be able to exert up to 20lbs. of force occasionally.
- Some travel may be required
Work Schedule:
- Typically Monday through Friday 8am-5pm.
- Occasionally require evenings and weekends for special events.
