Job Description
The person in the Executive Practice Area Assistant (EPA) position provides experienced, detail-oriented, deadline-driven administrative support and coordination to the CEO and CFO of a global consulting firm. The EPA must be an organized, politely assertive, collaborative, articulate professional who can interact effectively with the CEO, CFO, and other GG+A executives, as well as with the firm’s current and prospective clients. The position requires clarity of thought, exemplary communication skills and tactfulness, superior organizational skills, ability to be discreet, ability to manage complex and competing priorities, strong customer service orientation, experience with executive functions, sound judgement and flexibility.
The ideal candidate is one who responds positively to everyday workplace challenges and proactively solves problems. In supporting the CEO and CFO, the EPA will manage and coordinate many administrative duties. The position will focus on timely expense report management for the CEO, storing/filing executive practice client files, maintaining and updating the CEO’s Outlook contact list and recording consultant billing hours. This position also provides administrative support to the CFO including processing company credit card expenditures. The EPA is as backup to the Executive Assistant when needed. Occasional overtime especially during periods of high work demand.
Expense Report Management
- Collect receipts and calendared time from CEO
- Prepare and submit client time and expense reports on his behalf
Files and Document Management
- Create and maintain a system whereby relevant client engagement information is complete, thorough, well-documented, organized, and easily accessible
- This requires anticipating needs for research and analysis in advance of meetings, collecting and filing information returned following client visits, and identifying and taking initiative on follow-up items. The objective is to ensure that the CEO is fully prepared on all occasions, that client and other information is captured following all consulting activities, and that follow-up items are recognized and completed in a timely fashion.
Consultant Billing hours:
- Timely and accurately enter consultant hours into the Krow system.
- Report on hours; provide data as requested.
Credit Card Expenditures:
- Process all internal credit card expenditures under the direction of the Controller and Chief Financial Officer
Education and Experience
- Bachelor's degree (or equivalency)
- 5+ years’ experience in providing progressive fast-paced administrative support in a fast paced leadership environment
- Time and task management skills with astute attention to detail
- Demonstrated mastery of professional etiquette and poised business acumen
- Demonstrated experience with Microsoft Suite (Word, Excel, PowerPoint, and Outlook) and some experience with SharePoint
- Demonstrated organization and project management skills, including the ability to manage multiple projects and competing and constantly changing priorities in a fast-paced, deadline-driven environment
- Proactive, self-starter capable of advanced planning and ability to anticipate the needs of busy executives
- Results orientation with high expectations for quality and accuracy
- Flexibility and willingness to handle new and different tasks
- Clear and effective interpersonal communication skills, including impeccable verbal and written communication skills, exceptional proofreading and copyediting skill
- Occasional overtime needed to accommodate client work and executive travel.
