Job description

Landmark Ventures is seeking a positive, motivated, professional, detail-obsessed and trustworthy Event Coordinator to join our dynamic Events Practice. You will support a forward-thinking group of industry leaders whose achievements come as a result of hard work, ingenuity and consistently exceeding expectations. The successful candidate will join Landmark’s growing and established Events Practice working alongside fun and hardworking colleagues on a robust portfolio of events. The conferences and events that Landmark Ventures produces drive business results and social good for the company and our partners. Our annual portfolio of events includes Social Innovation Summit, Dealmakers Summit, CIO Summit, high-profile private-label conferences, and an additional 80+ portfolio of salons and webinars, fireside chats, breakfasts, dinners, and showcases. This candidate will gain valuable exposure and experience in full event operations, including planning, production & finance in areas such as food & beverage management, vendor research, management and negotiations, virtual event planning, technology vendor sourcing, and more. You will also assume key responsibilities with the team in all stages of events, from the pre-event design process through execution to post-event wrap-up for both physical and virtual events.

Roles & Responsibilities:

  • Venue & Vendor Procurement
    • Venue Research: hotels, restaurants, unique and non-traditional venues
    • Vendor Research: technology, photographer, videographer, special touches, event staffing, florist, transportation, etc.
    • Relationship management with venues and vendors
    • Downstream deposit and payment oversight and budget tracking
  • Event Planning & Logistics
    • Food and beverage planning and cost estimation
    • Meeting specification creation and Banquet Event Order review and adjustments
    • Vendor and venue coordination and communications.
    • Site visit coordination and calendaring.
    • Space plotting, flow management, furniture, floor plans and layout
    • Basic audio-visual planning
    • Ancillary vendor management including equipment and furniture rental, event, transportation, swag bags, special touches, design and décor, event security, etc.
  • Event Operations
    • Creation event preparation documents
      • Creation of Run of Show document, support preparing staffing guides, staffing emails, shot list, venue decks and emails, staff itineraries, etc.
    • Packing and shipping and event supply/equipment management
      • Event supply inventory and ordering
      • Pack, prepare and ship on-site materials to ensure seamless execution of events
      • Schedule, track and manage event shipments and materials
      • Unpack event supplies post-event
    • On-site staffing support including securing temporary staff, training, and creating staff preparation documents and on-site training
    • Vendor management and oversight. Load in/out scheduling and coordination. COI compilation
    • Room block management including: Support tracking room block usage and pickup, support rooming list changes and follow up, supplier commission tracking and collections.
    • Refinement and improvement of event efficiency operations and internal processes (project plan, set-back schedules, etc.).
  • Financial & Budget Support
    • Tracking, updating, and maintaining event-by event budget
    • Ensuring accuracy and continentality of documents
  • Client Management & Support
    • Ability to participate on client calls and provide recommendations and suggestions as it pertains to event planning and operational aspects
  • On-site Support
    • In-person event management and support: vendor setup & oversight (coordination deliveries, day-of contact, etc.,), signage setup and support (signage pickup and delivery, easel setup, etc.), breakout session setup (table tents, backdrops, AV), room setup support (chair counts), event breakdown and more.
    • Ability to troubleshoot and think in the moment
    • Registration assistance for events as needed


The Ideal Candidate Has:

  • 2-4 years direct experience working in a events and conferences
  • Bachelor's degree in Hospitality, Business or related discipline or equivalent relevant experience
  • Venue and vendor contracting and negotiations skills and experience
  • Basic knowledge and understanding of hotel brands and restaurant groups
  • Excellent computer skills and a strong understanding of Microsoft Office Suite (Outlook, Excel, PowerPoint) are essential; experience in Social Tables and AllSeated is a plus
  • Ability to multi-task, execute under tight deadlines, work in a fast-paced, high-stress environment, monitor and manage multiple priorities, and meet timelines on large projects from inception through completion
  • Strong organization skills, exceptional attention to detail, and excellent analytical, verbal, and written communications skills
  • Initiative and creativity, with a “get things done” attitude. Work “Athlete” mindset – someone who is coachable, innovative, focused and is able to adapt
  • Demonstrated strategic thinking and problem-solving skills which exemplify the ability to identify issues or challenges and find a reasonable solution
  • Strong interpersonal skills and the ability to quickly develop trusting, productive relationships with the executive team, vendors, staff, and all partners

This position is primarily remote with the requirement to be in-office based on the current events calendar (anticipated 1-2 times per week during peak events seasons) in Landmark’s headquarters on Park Avenue South in Midtown Manhattan.
