The Engineering Administrative Assistant role is a combination of administrative duties and maintenance duties requiring working knowledge and ability to assist the engineering team with completing maintenance repairs and installations on a daily basis.
1. Scheduling and maintaining an accurate log of our annual safety system inspections like Fire Sprinkler Systems, Back Flows, Kitchen Hood Suppression, Fire Extinguishers, Back Flows and Alarm systems. (Examples dates of when said services were completed, scheduled, reminders of upcoming service dates)
2. Assist in scheduling all correspondences with any needed quotes for said services above when needed or required.
3. Assist in maintaining any standing contracts and service end dates with any contractors we currently have and any future ones we do business with.
4. Assist with our monthly Engineering meeting presentations and maintain a sharable power point presentation on upcoming agendas, items that we need to address in terms of operations and safety.
5. Assist with any billing issues we may have with any contractors of said services that have overcharged or recharged for the same services already provided.
6. Assist in pushing contracted vendors of said services to complete work in a timely manner and follow up to make sure they actually showed up to complete the work. (Example Ecolab)
7. Assist in maintaining any logs for said services like Ecolab's MSDS paperwork.
8. Unifocus - Assigning work orders / Changing Shifts
9. Daily use of My Hotel Effectiveness to assist in Engineering Scheduling
10. Utilize DocuSign to coordinate and process capital requests
11. Attendance - Review Timecards for Engineer Team Members
12. Birch Street - Purchase Orders
13. OneNote - Daily/weekly Task, Orders, Scheduling work orders, Inputting information per contractors/Vendors
14. Daily utilization of email & processing invoices
15. Provide administrative support to the Director of Engineering, Engineering Manager, Safety Manager, and engineering team members
16. Assist engineering team with completing minor repairs and Level I maintenance/engineering work orders
