Job Description
Under the direct supervision of a Regional Director, the Engagement Coordinator provides both general and project specific support to the Executive Directors in their assigned geographic footprint. Skillsets are also used to provide support to both the Vice President (Regional Teams) on an “as needed” basis. The Engagement Coordinator will perform duties including data record keeping supporting mission outcomes; assuring policies and procedures are followed; coordination of meetings and conferences, securing supplies, coordinating mailings, and working on special projects as directed. The Engagement Coordinator answers phones and responds to basic information and referral inquiries. Independent judgment is required to plan, prioritize, and organize a diversified workload and provide recommended changes in virtual office practices or procedures. The Engagement Coordinator is involved in decision making, multitasking, taking initiative and must possess the ability to coordinate numerous projects or activities at one time. Consequently, this position will also assist with meeting logistics, grant processing and reporting and communications. While this position works from a home office, physical residency in Oregon, Washington, or California is required for this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform a variety of engagement and support activities for the staff assigned to specific geographic footprints. Assignments typically involve support activities that require working knowledge of Epilepsy Foundation operations and procedures. – 40%
- Maintain operational work plan for all assignments and projects under this position, including but not limited to Seizure Safe School Legislative implementation. – 30%
- Provide information resources and referral to support people with epilepsy within assigned geographic footprint. – 10%
- Prepare the output of professional documents as requested, including letters, memoranda, reports, sponsorship, or grant proposals, etc.; and ensure all adhere to established EF style guides and formats. – 10%
- Provide administrative support to the Vice President (Regional Teams) as needed. – 10%
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Professionally and with the disposition of team unity, interact with EF national office staff as needed.
- Coordinate and or complete special projects as required.
- Provide both virtual and in-person attendance at EF events and activities within designated geographic territory.
- Keep accurate and complete constituent records.
- Compile data from numerous sources and produce summary reports as required under general direction.
- Route mail and emails when needed.
- Interface with local staff and board members concerning reporting, exchange of information and general administrative support.
- Proofread typed data ensuring proper spelling, punctuation, and grammar usage; perform minor document revisions to ensure clarity.
- Assist with other duties and special projects, as assigned.
EDUCATION REQUIREMENTS
- High school diploma or equivalent required with a bachelor’s degree preferred.
EXPERIENCE REQUIREMENTS
- Three (3) years of related work experience.
- Proficiency with MS Office and other data-base software platforms. Employee must also be comfortable learning new technical systems, as needed.
- Experience with Adobe Professional and other graphics programs desirable
ESSENTIAL SKILL(S)
• Bilingual is highly preferred.

- A high level of detail orientation and accuracy (checking your work for accuracy is especially important).
- Ability to prioritize work assignments and track multiple projects simultaneously and follow through to completion with each.
- Ability to work independently with minimal supervision on assigned duties; a sense of ownership and urgency in completing assigned job duties is essential.

SUPERVISORY RESPONSIBILITIES
- This position has no supervisory responsibilities/no direct reports.

TRAVEL, WORK ENVIRONMENT, AND PHYSICAL DEMANDS
- This is a full-time position, working 35 hours per week, Monday-Friday, 9 AM – 5 PM local time.
- The Engagement Coordinator operates in a professional office environment and routinely uses office equipment (currently working from home, under our current COVID operations policy and will continue until further notice).
- While performing the duties of this job, the employee is regularly required to talk and hear and will require staring at a computer screen and/or documents for extended periods of time, standing/moving around when filing for extended periods of time, some lifting (boxes, packages, office equipment) and moving tables/chairs to set up meeting spaces.
- Travel and/or virtual meetings throughout the assigned geographic footprint is required with occasional regional or national travel expected.
- Work might be required on some evenings and weekends for events and/or selected programs.
- Telework privileges may be requested, in accordance with our standard telework policy. Satisfactory performance and excellent customer service must be maintained.
SALARY
- $35,000 - $42,000
