POSITION PURPOSE:
Collaborates with the Senior Administrator for Performance to implement the performance review processes and review of complex leave and excessive absence issues. Tracks and research performance assessment history. Capably produces leave reports in Oracle to support in the review of excessive absences. Demonstrates knowledge of Wake County Public School System (WCPSS) board policies pertaining to use of leave and assessment of job performance. Performs clerical duties and provides administrative support to the Senior Administrator for Performance. Responds to inquiries and requests, prepares files, and collaborates as needed with department staff.
MINIMUM QUALIFICATIONS:KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
- Considerable knowledge of Microsoft Office, specifically Word, Excel, PowerPoint, TEAMS, and Outlook; Google
Apps;
- Considerable knowledge of performance evaluation instruments and processes;
- Excellent organizational and time-management skills;
- Excellent customer service skills;
- Excellent critical thinking, problem-solving, and analytical skills; Very good proofreading skills;
- Ability to be discrete and maintain confidentiality;
- Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
- Ability to pay strong attention to detail and fundamental concern for the accuracy of information;
- Ability to work independently without close supervision but also to function as a team member;
- Ability to coordinate and complete multiple tasks simultaneously with deadlines;
- Ability to handle a large number of incoming calls;
- Ability to establish and maintain effective working relationships with school system staff and the community.
EDUCATION, TRAINING, AND EXPERIENCE
- High school diploma or GED; AND
- Three years’ experience in clerical, human resources, or related areas.
CERTIFICATION AND LICENSE REQUIREMENTS
- Must hold and maintain a valid motor vehicle operator’s license according to the State of NC requirements.
PREFERRED QUALIFICATIONS:
- Proficiency with creating formulas, using graphics within Excel, and merging documents with Microsoft Excel and Microsoft Word;
- Proficiency with Oracle;
- Proficiency in using Adobe Acrobat DC to edit and combine files;
- Considerable knowledge of WCPSS Board policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Collaborates with the Senior Administrator for Performance to implement and support the performance review processes and the review of complex leave and excessive absence issues.
- Manages and maintains performance evaluation data for identified performance concerns.
- Completes performance history reports after researching prior performance assessments.
- Troubleshoots appropriate corrective measures with guidance from the Senior Administrator for Performance.
- Manages data updates for performance tracking documents to include information on new performance assessments, resignations, completion of performance improvement plans, and attainment of proficiency across all standards.
- Researches FMLA entitlements and reviews Oracle leave reports to determine the amount of leave taken beyond employees' legal entitlements. Update files to reflect follow-up notifications and action steps.
- Answers process questions for evaluator/supervisor inquiries as needed.
- Supports and trains worksites to effectively address required leave procedures and applicable payroll processes; effectively triages significant leave issues for administrative review.
- Communicates the process and due dates for conditional evaluations to worksite supervisors at the outset of placement on a conditional evaluation.
- Executes strong professional knowledge of WCPSS evaluation instruments, processes for notification of performance concerns, and protocols for improvement plans with fidelity.
- Adheres to laws, policies, regulations, and other requirements for employee performance, evaluations, attendance, and FMLA.
- Reviews performance evaluations and letters related to performance concerns for specific details related to job standards, professional conduct, intervention, and improvement efforts, supervisory comments, and recommendations and conscientiously triages for administrative review.
- Analyzes performance and leave data to determine trends and provides input on supports that can be developed to support employees and worksites.
- Performs other related duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force. The work occasionally requires driving automotive equipment.
