Job Overview:
The Documentation Specialist plays a crucial role in supporting manufacturing by meticulously creating, updating, and maintaining approved documentation changes provided by Managers and the Engineering team. This position involves effective communication with sub-departments within the manufacturing floor and vendors when necessary.
Job Description:
· Manage and ensure the accuracy of all process and product documentation within the manufacturing environment based on directives from manager and engineering team.
·Collaborate across departments, engaging subject matter experts (SMEs) from Receiving & Inspection, Shipping, Kitting, Repairs, Quality, Engineering, and Management to translate their insights into actionable instructions, including Work Instructions (WINs) and Job Aids, utilizing prescribed templates.
· Work independently while recognizing the importance of consulting stakeholders and keeping them informed of progress.
·Track documentation changes using revision controls for new products or product alterations as directed.
·Request necessary documentation from vendors.
·Use enterprise software (NetSuite) to request Return Merchandise Authorizations (RMAs) from vendors after product dispositions are established by the Material Review Board (MRB).
·Create RMA transactions and generate corresponding Purchase Orders (POs) for defective and repaired items within NetSuite.
Perform other duties as assigned
Requirements:
- Bachelor's degree in Business Administration or related field preferred
- Proven experience as a Document Specialist or similar role
- Strong attention to detail and excellent organizational skills
- Knowledge of CorelDRAW and CAD a plus.
- Strong proficiency in Word and SharePoint.
- Ability to handle confidential information with discretion
- Excellent written and verbal communication skills
- Strong analytical and problem-solving abilities
- Ability to work independently and prioritize tasks effectively
