Job description

Overview:

A growing, Houston-based professional services firm, G&A Partners is currently seeking a Document Specialist to join its team at the G&A satellite officelocated in South Jordan, Utah.

Responsibilities:
Essential Duties
  • Checks scanned files for completeness prior to indexing.
  • Indexes to the appropriate files.
  • Disposes of original paper documents securely.
  • Works as the receptionist at the Front Desk when needed.
  • Maintain records, in paper and electronic format, including, but not limited to gathering, organizing, scanning and indexing.
  • Perform production-level document preparation, including removing paper clips, staples, and maintaining order.
  • Perform production level scanning, including scanning whole documents and ensuring legibility of the documents.
  • Coordinate the transfer and retrieval of records according to G&A standards.
  • Create log sheets, reports and production summaries and conduct quality control for all scanning work performed.
  • Works at the Front Desk as the receptionist as needed.
Other Duties
  • Demonstrate proficiency in full life cycle records management, file plan creation and maintenance, applying records disposition schedules, and e-mail management.
  • Utilize the current in-house privacy management solutions to conduct risk assessments and audits.
  • Conduct records inventories of hard-copy and electronic records as well as for information systems/databases.
  • Answers phone calls quickly and professionally and transfers calls as needed.
  • Assists in-person customers with their requests by providing appropriate paperwork, answering questions, or requesting additional personnel.
  • Releases checks or confidential items after verifying the identity of the customer.
  • Assists with data input or other routine clerical work.
  • Perform other duties as assigned.
Qualifications:
Education
  • High school diploma or equivalent. Some college is preferred but not required.
Skills & Experience
  • Previous clerical experience is preferred.
  • Proficient in Microsoft Office products
