THIS EXTREMELY WELL-KNOWN, HIGH-PROFILE INTERNATIONAL LAW FIRM IS SEEKING A DOCUMENT MANAGER. THIS POSITION WILL BE ONSITE IN THE NYC OFFICE. MUST HAVE SOLID 5 YRS OF EXPERIENCE IN A LEADERSHIP ROLE IN DOCUMENT PRODUCTION. MUST HAVE 4 YR. DEGREE AND SOLID EXPERIENCE IN A LAW FIRM OR PROFESSIONAL SERVICES FIRM.
The firm is seeking a Manager of Document Production, Proofreading, and Duplicating. This role will oversee all aspects of document production,
proofreading, and duplicating services for a leading law firm with operations that run 24/7. This position reports to the firm’s Global Director of Administration.
Responsibilities include but are not limited to:
Manage and oversee the document production, proofreading, and duplicating teams that operate in shifts to ensure that all work is completed accurately, efficiently, and on time.
o Manage the document production team and multiple projects simultaneously while maintaining high-quality work product and meeting tight deadlines.
o Manage the proofreading process to ensure all documents are error-free, consistent, and comply with firm style guides.
o Oversee the duplication process and ensure that all documents are delivered to clients and stakeholders in a timely and professional manner.
o Ensure that the department adheres to all relevant regulatory and ethical guidelines, such as data privacy and security protocols.
Develop and maintain shift schedules and ensure adequate coverage at all times, including weekends and holidays.
Lead the development of first-class graphics and presentation production capabilities, ensuring that staff members are properly trained to create high-quality senior-level and courtroom presentations accurately, efficiently, and on time.
Implement and manage quality control processes to ensure the highest level of accuracy and consistency across all documents produced.
Develop and maintain relationships with key stakeholders across the firm, including attorneys, paralegals, and administrative staff, to understand their needs and deliver high-quality services.
Keep up to date with emerging trends and technologies in document production, proofreading, and duplicating services and make recommendations for operational improvements.
Monitor and manage the department's budget, including expenses related to equipment, software, and supplies.
Provide regular reports and updates to senior management on the department's performance, including metrics on quality, efficiency, and cost.
Requirements:
Minimum 5 years of experience in a leadership role in document production or proofreading.
Experience managing teams that operate in shifts and developing shift schedules.
Strong project management skills and the ability to manage multiple projects simultaneously.
Excellent communication and interpersonal skills, with the ability to build relationships and collaborate effectively with a wide range of stakeholders.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), graphic design, workflow and document management software.
Analytical skills and experience setting and tracking budget, and operational metrics.
Experience with legal terminology and document formatting requirements.
Ability to work under pressure and meet tight deadlines.
Must be available off hours when a business requires it.
