We're searching for a full-time, benefited, Dental Office Business Manager to join the team at Jamestown Family Dental Clinic!
The Jamestown Family Dental Clinic (JFDC) seeks to elevate the oral health status of Tribal Citizens and other clinic patients while providing the highest quality, professional treatment during all aspects of their interaction with the JFDC. T he Dental Office Business Manager supports and supervises all administrative duties in the Dental Office. This position will oversee the day to day operations of the Dental clinic office through effective communication, providing leadership and direction, efficient scheduling of patients and treatment plans, and ensuring office staff are thoroughly efficient in their roles and responsibilities. The Dental Office Business Manager will guide Dental Clinic operations and staff in accomplishing goals established by the Jamestown S’Klallam Tribe (JST).
Essential Functions
+ Analyze and organize office procedures and patient services
+ In collaboration with the Dental Director and the Dental Clinic Operations Manager, develop, write and communicate office and patient service protocols
+ Evaluate workflow, patient satisfaction and progress towards Dental Clinic goals on a regular basis. Recommend new ideas and revised processes to improve efficiency and patient services
+ Manage the software systems and other equipment required to keep the clinic operational
+ Supervise dental clinic office staff, manage work schedules and supervise their daily activities
+ Responsible for the accuracy of daily financial transactions of all JFDC staff
+ Prepare and review monthly production and receivable reports with the Deputy Director of Health Services and Accounting Department. Recommend changes to clinic operations necessary to ensure that production goals are met
+ Develop policy and procedures for systematic retention, protection, retrieval, transfer and disposal of records
+ Coordinate the development, review and updating of all Dental Clinic policies and implement policy changes after final approval from the Dental Director and Deputy Director of Health Services
+ Hire, train and supervise new office staff
+ Coordinate referrals to specialists for Tribal Citizens. Authorize payment for evaluations and treatment plans according to Tribal Policies, as necessary
+ Coordinate referral appointments for non-Tribal members with specialty providers
+ Schedule appointments with appropriate provider determining the procedure and time required.
+ Create treatment plans for patients. Provide explanations of treatment and answer questions regarding treatment
+ Assist patients with account changes and corrections; assist patients with insurance coverages and benefits
+ Ensure compliance with and maintain contracts of third-party billing sources (insurance contracts)
+ Maintain working knowledge of insurance plan contracts, business associate agreements and all contracts needed for the Tribe to operate the JFDC
+ Maintain working knowledge of the requirements of HIPPA, Tribal Public Health and Safety code, Medicaid services and regulations, and other local, state and federal regulations concerning the operation of a Tribal dental clinic
+ Provide the Dentist and other support staff with administrative and practical support when needed
+ Adhere to all JST and JFDC policies and procedures, including but not limited to standards for safety, and work practices as described in the JFHC Occupational Exposure Control Plan and HIPPA
+ Perform other duties as assigned
Requirements
+ High school diploma or GED
+ Nine (9) years’ experience working in a Dental clinic
+ Prior supervisory experience required
+ Must possess strong leadership skills and be able to provide continual motivation for staff to maintain high quality dental care, change systems to improve efficiency and quality, suggest solutions for problems and concerns, resolving interpersonal conflicts, increasing skills and knowledge of staff and developing new dental care services
+ Extensive knowledge of the dental field including dental terminology, dental procedures, chart documentation, scheduling, insurance plans and billing
+ Knowledge and experience using electronic medical records systems for Dental clinic scheduling, billing and patient record keeping
+ Ability to interact with others in a professional, compassionate, culturally competent manner, maintain confidentiality and work well as a member of a team
+ Answer patients' questions and respond to their concerns in a professional and respectful manner
+ Computer proficiency in Microsoft Suites
+ Exceptional interpersonal skills including effective verbal and written communication
+ Ability to travel locally and regionally as assigned
+ Valid Driver’s License
+ Must be able to successfully pass criminal background investigation
Preferred Qualifications
+ College degree in administration, business management or related field Experience with Eagle Software
+ Excellent organization skills and the ability to prioritize multiple tasks
+ Effective time management, decision-making, and problem-solving skills
+ Demonstrate initiative, work independently with little supervision
+ American Indian/Alaska Native preferences apply
