Job Overview:
We are seeking a skilled and organized Office manger and or Dental Receptionist to join our team.
As an Office manager, you will be responsible for the coordination of a broad scope of activities within a practice. We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.Previous experience as a Front Office Manager would be an advantage. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
- Serve as the point person for Office Manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Schedule office meetings
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Update and maintain office policies as necessary
- Organize office operations and procedures
- Ensure that all items are invoiced and paid on time
- Assist in the onboarding process for new hires
- Address employees queries regarding office management issues
Skills
- Proven experience as an Office manager, Front Office Manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email and text scheduling tools, like Solution Reach.
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements

As a Dental Receptionist, you will be responsible for providing exceptional patient service and administrative support in a fast-paced Dental Office environment. Duties:
- Greet patients and visitors with a warm and friendly demeanor
- Schedule appointments and manage the Dental Office's appointment calendar
- Answer phone calls and respond to inquiries in a professional manner
- Verify insurance coverage and assist patients with insurance-related questions
- Collect patient information and update medical records using Eaglesoft
- Assist with billing and payment processing
- Maintain cleanliness and organization of the front desk area
- Coordinate with dental hygienists, assistants, and dentists to ensure smooth patient flow
- Provide administrative support such as filing, faxing, and scanning documents
Skills:
- Previous experience in dental scheduling or patient service is preferred
- Familiarity with electronic medical record systems such as Eaglesoft
- Knowledge of medical terminology and dental procedures is beneficial
- Strong administrative skills, including proficiency in Microsoft Office Suite
- Excellent communication skills, both verbal and written
- Ability to multitask and prioritize tasks in a fast-paced environment
- Exceptional attention to detail and accuracy
- Professional demeanor with excellent customer service skills
