JOB SUMMARY
The New Patient Coordinator creates the first impression and a lasting impression for each patient, whether in person or on the phone. This role greets patients, schedules appointments, answers incoming calls, manages patient’s records, and verifies insurance plan acquisition and input to software with appropriate notes. Additionally, they present each New Patient with chief complaints and referral source to the team in our morning huddle. This position is responsible for the completing referral reports and sending out referral appreciations. The New Patient Coordinator keeps the New Patient process organized and running smoothly and exhibits a positive countenance to every patient experience. This position is full-time, 4-5 days per week with full benefits package - health insurance, vacation/sick, holiday pay, and monthly production bonuses. Compensation is competitive, and depends upon experience.
ESSENTIAL FUNCTIONS
· Develops and maintains doctor/hygienist schedule to meet practice goals
· Responsible for answering incoming New Patient calls, scheduling patient appointments and follow up.
· Responsible for requesting records from patient’s previous office, importing to software, and evaluating eligibility.
· Responsible for obtaining patient insurance plans, deciphering plan details, inputting to software and outlining plan notes.
· Manage unscheduled list, asap list, treatment pending list, to ensure patient follow through to meet scheduling goals
· Greet and check patients in and out for and after treatment.
· Educate and consult patients discussing treatment needs and presenting treatment plans.
· Increase and stimulate New Patient growth by supporting marketing and promotional programs, to include referral letters/gifts.
· Document patient dental treatments and financial transactions, prepare financial arrangements, collect co-payments.
· Balance income and charges daily and prepare deposits.
· Create month-end reports and forecast monthly goals for the office and providers.
· Responds to doctor, patient and employee concerns and inquiries and seeks assistance when necessary.
· General office other various duties as required.
QUALIFICATIONS
Minimum Qualifications
· Previous receptionist or Front Office experience, including above "Essential Functions"
· Computer proficiency and the ability to learn new programs to include Microsoft Office Suite
· Experience in a digital office with dental software proficiency
