We are in search of an experienced Library Assistant to assist our Knowledge Services team! Situated within Baird's Global Investment Banking division, this role will report directly to the Knowledge Services & Market Data Manager.
As a Library Assistant, you will join a core team of talented individuals to help support and drive successful outcomes for our internal clients. Your responsibilities will include providing Knowledge Services support, acting as a resource for vendor relationships and collaborating with organizational stakeholders to meet their resource requirements. We will hone your professional skills through training, mentorship, and educational opportunities with an eye towards career growth.
Your proactive approach in supporting our Global Investment Banking team will be essential. Utilize your analytical abilities to research, compile data, and handle essential communications. Additionally, you will play a crucial role in organizing user education and training programs related to information resources, as well as executing outreach campaigns on a regular basis.
As a Library Assistant, you will provide:
- Knowledge Management:
- Identify strategies to help drive knowledge sharing and best practices across the firm through innovative internal communication.
- Ensure changes in training, service, and processes are communicated through various channels.
- Maintain and update content on our internal SharePoint site.
- Collaborate cross-functionally with Investment Banking associates, operations professionals, and Baird stakeholders. Build strong relationships with global colleagues in support teams like Finance, IT, and HR.
- Information Product and Vendor Management:
- Manage onboarding/offboarding of various electronic resources and troubleshoot/escalate any access and technical issues.
- Support external partnerships by maintaining communication records, assisting with contract renewals, vendor accounts, invoice payments, budgeting, cost tracking, and cost-saving strategies.

What we look for:
- Bachelor's degree (BS or BA) required.
- Minimum 2 years' library experience or other relevant experience.
- Knowledge of basic finance and Investment Banking a plus.
- Experience with detailed work processes, project management, organizational skills, time management, and prioritization of multiple workstreams with competing deadlines are necessary.
- You should possess strong critical thinking, analytical, and communication skills, be a committed team member, reliable, detail-oriented, with a strong work ethic. It is necessary to excel in error detection and demonstrate good follow-through skills.
- Comfortable collaborating with colleagues and clients at all levels, including direct communication.
- Entrepreneurial spirit and dedication to work within a passionate team of professionals.
- Proficiency in Microsoft Office, especially Excel and PowerPoint, and demonstrated experience with database management.
- SharePoint experience preferred.
