Job description

Summary:

Relieves executives of variety of administrative functions in order to increase the time an executive has available for executive level responsibilities. Handle a wide variety of situations and conflicts involving the clerical and administrative function of the executive office. Composes memos, transcribes notes, researches and creates presentations. Generates reports, handles multiple projects, prepares and monitors invoices and expense reports. Assist with compiling and developing the annual executive budget. Responsible for confidential and time sensitive material. Plans and coordinates board, executive, and a variety of company events.

Essential Duties and Responsibilities: (other duties may be assigned based upon business needs and requirements)

· Maintain all board minutes, committee meeting minutes and all associated documents.

· Schedule and organize complex activities such as meetings, travel, and department activities for all members of the Senior Management Team.

· Create and develop visual presentations for the President/Chief Executive Officer (CEO).

· Organize and attend board of director meeting taking, preparing and distributing minutes and agenda and other board activities as needed.

· Organize and prioritize large volumes of information and call handling.

· Sort and distribute mail. Open mail for the President/CEO and determine level of priority.

· Answer phone for President/CEO. Takes message or field/answer all routine and non-routine questions.

· Assist the President/CEO in the management of their schedule.

· Process invoices and Executive expense reports for payment.

· Manage and prepare Board of Director’s compensation for payment.

· Handle highly confidential and non-routine information.

· Work independently and within a team on special and nonrecurring and/or ongoing projects. Act as a project lead for special projects, at the request of the President/CEO, which may include: planning and coordinating multiple presentations, disseminating information, and organizing company-wide events.

· Prepare and design general correspondences, memos, charts, tables, graphs, business plans, etc.

  • Must maintain strict confidentiality and abide with all company policies and procedures.
  • Assist in the development and management of the budget for the President/CEO.
  • Handle administrations of the executive complaint log and follow up on clearance of all items.

· Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

· Must be able to interact and communicate with individuals at all levels of the organization.

· Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft 365: Word, Excel, PowerPoint, Teams, SharePoint)

· Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.

Education/Experience:High School Diploma or General Education Degree (GED) required; Associate's degree preferred or its equivalent with at least four (4) years of Corporate Administrator experience or in a related area.

Language Ability: Ability to read, write and comprehend complex instructions.

Reasoning Ability: Ability to deal with and solve problems using solid judgment skills.

Technical skills:

· Basic PC and keyboarding skills required

· Basic Microsoft 365 skills (Outlook, Word, Excel, SharePoint, Teams and PowerPoint) required

Supervisory Responsibilities: None. Reports to the President/CEO.

Pay: $56,890.00 - $85,334.00 per year
