JOB DESCRIPTION 

We are looking for a highly organized and detail-oriented individual to join our team as a Corporate F&I Administrator. This individual will play a crucial part in supporting F&I Managers and Title Clerks across the company to ensure smooth and efficient financial and administrative operations.

 

RESPONSIBILITIES 

F&I (Assist)

  • Collaborate with Finance Managers to assist customers in securing financing for commercial equipment purchases.
  • Maintain meticulous records of customer interactions, financial transactions, contracts, and other relevant documentation to facilitate easy retrieval and audit readiness.
  • Evaluate customers' credit applications and financial situations to determine suitable financing options.
  • Present and explain financing and insurance products to customers, ensuring they understand terms, rates, and coverage.
  • Process and complete all necessary paperwork for financing and insurance transactions.
  • Comply with all regulatory requirements and maintain up-to-date knowledge of industry regulations.
  • Provide elite customer service throughout the financing and insurance process.
  • Attend weekly sales meetings and discuss F&I pipeline while updating delivery dates/schedules.
  • Support and perform necessary duties relating to specific sales campaigns as defined by Corporate Sales Managers.
  • Regional customer visits with F&I Managers and/or lender Reps:
  • Assist in training new F&I Managers

Title Clerk (Assist)

  • Aid Title Clerks in processing deal sheets, processing title work.
  • Verify accuracy  of deal sheet including OEM billing, additional sales assistance, FRET (If FRET exempt that we have proper exemption forms on file and included with each truck deal), license fees.
  • Obtain lien information from F& I Manager with the approval terms, finance institution, estimated delivery date or call outside lienholder to verify titling and lien information.
  • Input into Procede (dealer management system) using delivery date per salesman’s email noting the Procede Deal Number on the truck folder.
  • Provide F & I Manager invoice, title application and front of MSO or title for loan documents preparation.
  • Obtain registration and license plates or print e-tag for delivery (based on home store location)
  • Generate all delivery paperwork including extended warranty forms, distribute electronically to Sales, F&I, or direct to customer.
  • Obtain copies of all executed loan documents and insurance applications from F&I Managers to be placed in equipment folder per checklist, send to appropriate personnel to file.
  • Register warranties for all new Macks and Volvos or perform used truck warranty transfer when applicable, mail trailer warranty forms, etc. as soon as equipment has been delivered.
  • Process all extended warranty forms for Mack, Volvo, Allision, Eaton, etc. immediately upon delivery.  Be sure either to input or have A/P input into Bruckner’s payable system.
  • Code reserves, warranty, and additional sales assistance invoices when received.
  • Reconcile new and used vehicle receivables, contracts in transit, reconcile ASA, and deposit and warranty schedule.
  • Email deal status, and all schedules to General Manager, Office Manager, and sales employees by 2pm every Friday for Monday sales meeting.
  • Attending weekly sales meeting to stay informed on which units to deliver during the week and any updates on policies and procedures.
  • Assist in training new Title Clerks.

 

QUALIFICATOINS/REQUIREMENTS  
  • High School Diploma, bachelor’s degree preferred.
  • Minimum of two to five years of proven experience in commercial heavy truck dealership operations or equivalent experience.
  • Mathematical Skills & Reasoning Ability:
    • Evaluate/analyze financial statements, commercial and consumer credit bureau reports, and other items associated with securing equipment financing.
    • Compute complex payment structures manually, or by use of a financial calculator.
  • Excellent communication and negotiation skills.
  • Detail-oriented with strong organizational abilities.
  • Proficiency in relevant software and tools.
  • Read and Write the English Language.
  • Ability to work independently and as part of a team.
  • Travel to remote dealership locations within area of responsibility. Travel plans are to be made with purpose and should include engagement with sales teams, lenders, and customers.
  • Position requires employee to maintain an acceptable driving record and must possess a vail driver’s license to ensure motor vehicle insurability.
  • Position involves the essential ability to sit and maneuver from one work area to another, being able to bend and squat, and manipulate small objects. Involves working indoors and outdoors and may require limited lifting and maneuvering of boxes of computer paper and storage boxes. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Position may at times contain extensive levels of stress and requires the ability to handle multiple tasks. The position also requires regular attendance during business hours.
  • Comply with internal policies related to the position including:
    • All customer information including credit applications, financial statements, etc. should not be left out in the open or visible when the F&I Manager is not in their office.
    • At the end of day, all customer information should be locked in a drawer with the office door locked and secured.
    • Computer (desktop/laptop) should be in a “Windows” locked position whenever the F&I Manager is out of the office with office door locked and secured.
    • Laptops should remain secure at all times when taken outside of the office. Laptops are not to be left in vehicles overnight.
    • Original MSO’s and titles are not to be taken out of the office and should be secured at all times.
    • Sensitive details surrounding credit decisions should not occur between the F&I Manager and pertinent individuals/vendors/lenders.
