The Natural History Museum of Los Angeles County was the first museum in L.A. to open its doors 109 years ago and is poised for an exciting new era as it plans for the future. Having recently completed a new strategic framework, the Natural History Museums of Los Angeles County—including NHMLA at Exposition Park, La Brea Tar Pits and museum in mid-Wilshire, and the William S. Hart Museum in Newhall—is looking forward to new building projects and campaigns, exhibitions, community outreach, and innovative audience engagement.

The Natural History Museum of Los Angeles County is seeking a Coordinator for our Special Events department. The Coordinator works closely with the Manager of Special Events & Filming at the Natural History Museum. It is an exciting time as we embark on new journeys of becoming a museum of, for, and with L.A.


Responsibilities for this position include, but are not limited to:

  • Oversees the production, set-up, execution, and breakdown for assigned events and film shoots, inclusive of preparation and clean up. In conjunction with supervisors, delegates execution to team leaders and event assistants, as needed.

  • Responsible for the creation and distribution of work orders for assigned events and film shoots, as well as the staffing and supervision of various events and film shoots. Manages the collection of all required documentation for vendors, inclusive of vendor agreements, COIs, and liquor licenses, as needed. Makes recommendations as needed to senior staff for purchases, maintenance, etc. Finalizes events and film shoots by completing billing, event reports, and incident reports.

  • Interacts with all vendors to execute events and film shoots. Coordinates load-in and load-out, ensuring each vendor adheres the Museums’ policies and is treated with outstanding customer service.

  • Works closely with the Sales Representative to ensure that the production elements of the events can be executed in line with the contractual agreements and internal work orders.

  • In consultation with the supervisor, adapts work processes to be consistent with organizational, department, and strategic goals and raises challenges encountered during implementation.

  • Documents outcomes, applies evaluation approaches, and provides input on methods for improving the performance of the function or program.


This position has the following requirements:

  • One or more years experience coordinating events for a non-profit or corporate organization or in a related-capacity

  • One or more years customer service experience

  • High school diploma, GED or equivalent required; bachelor's degree preferred

  • Must be able to work weekends, including Fridays, evenings and holidays and be willing to work at any of the Natural History Family of Museums

  • Demonstrated ability to work with others on teams, across an organization and external audiences; ability to collaborate effectively with all levels within an organization

  • Must act with integrity and possess the ability to carry oneself with a professional demeanor and decorum especially in high stress or high pressure situations

  • Strong communications and organizational skills; must be able to communicate clearly on written documents

  • Problem solving abilities, including the ability to solve problems and use judgment to make decisions under pressure

  • Ability to think critically and analyze a situation to ascertain possible outcomes and plan accordingly

  • Ability to analyze data related to a specific program or function and be able to self-analyze own work for reflection and future improvements

  • Experience using a personal computer and knowledge of a variety of office softwares, including MS Office, Google Suite, and Outlook.

  • A valid California Driver License and a Personal Automobile Liability Insurance or the ability to utilize an alternative method of transportation needed to carry out job-related essential functions.

  • Must be able to lead children in activities in an educational environment.
