Company: IPS Group, Inc. is a design, engineering and manufacturing company focused on low power wireless telecommunications and parking technologies. IPS manufactures its products locally and has been delivering world-class solutions to the telecommunications and parking industries for over 22 years. The company is best known for their patented credit card enabled, solar powered single-space parking meter and web-based management system.
Job Responsibilities:- Maintain and update contracts database for all customer and vendor contracts including amendments, Non-Disclosure Agreements, License Agreements, Master Service Agreements, etc.
- Ensure key terms including pricing, renewal dates etc. are summarized and easily accessible by key stakeholders including Sales, Customer Support, Operations, Finance and Legal.
- Monitor customer contract expiration dates and annual price increase anniversaries. Proactively work with customers, Sales and Finance to ensure renewals and/or price increases are in place.
- Review and verify accuracy of incoming orders before they are marked closed/won in CRM.
- Ensure Sales uses the latest price lists, and any pricing changes are reflected in customer quotes and discussions.
- Partner with Finance to ensure the customer contract terms, pricing etc. are accurately reflected in the Orders and ERP generated Invoices.
- Ensure compliance with Insurance requirements on all contracts.
- Advise management of contract-related issues and obligations to ensure they are addressed in a timely manner.
- Maintain an awareness of regulatory changes and their impact on contracts.
- Help accounting with reconciling collections and remittances for customers where the company acts as merchant of record.
- Bachelor's Degree.
- At least 3 or more years of experience working with contract administration.
- Ability to handle multiple demands, prioritize, and allocate time.
- Attention to detail, organized and able to keep track of tasks pending.
- Proficiency in Microsoft Word, Excel, Power Point and familiarity with ERP, CRM and Contract management tools and working knowledge of Teams.
- Excellent Interpersonal skills-maintains confidentiality.
- Strong written and verbal communication skills.
- Strong listening and comprehension skills with a supportive “Can Do” attitude.
