The Key to Our Success

Our success is due in large part to the experience, skills, and expertise of the best and brightest employees in the industry.  We are looking for an additional administrative professional to join the Evergreen team.  Think you have what it takes?  Great!  We welcome you to submit your qualifications for this great career opportunity at Evergreen Fire and Security.

The Opportunity

Join Evergreen as aConstruction Coordinator, a role that is pivotal in both managing our Field Technician schedules and fostering proactive problem-solving and innovation. This position is ideal for someone who doesn't wait to be told what to do but jumps right in, identifying and addressing needs as they arise. Reporting to the Field Resource Manager and working closely with Project Managers, you'll be key in aligning our workforce with both customer needs and company objectives. Your success hinges on your advanced proficiency in Microsoft Office 365, Smartsheet, and ERP software, alongside exceptional administrative, communication, and organizational skills. A self-starter and natural leader, you'll build strong relationships with field staff and management, excel in a dynamic environment, and handle responsibilities like precise scheduling, effective meeting management, and multitasking across various key areas including technician training, certification tracking, and department coordination.

The Responsibilities

  • Proactive Problem-Solving and Initiative: The ideal candidate will be naturally inclined to identify areas of need, envision improvements, or spot inefficiencies in existing processes. You should possess the drive and creativity to not only recognize these opportunities but also take the initiative to develop and implement effective solutions. We value individuals who can proactively address challenges and are motivated to establish or refine processes for optimal performance.
  • Recruitment and Staff Development: Engage in proactive recruitment and accurate forecasting of staffing needs. You're responsible for the seamless onboarding of new staff, cultivating robust relationships with Field Staff, and playing an instrumental role in performance reviews and goal setting.
  • Scheduling Management: Develop and meticulously maintain a master schedule for Field Technicians, ensuring every project is staffed optimally. Your role involves continuously updating the schedule, communicating changes with precision, and managing scheduling tools expertly.
  • Technician Training and Development: Ensure that our technicians are not only well-trained but also stay ahead of industry standards and forecasted needs. You're tasked with evaluating and enhancing training programs and collaborating effectively for continuous improvement.
  • Certification and Compliance Tracking: Maintain up-to-date records of technician certifications and licenses, ensuring full compliance and readiness. Collaborate closely with HR to avoid any lapses in certifications and licenses, ensuring a fully equipped workforce.
  • Meeting Coordination:  Assist in leading the organization and execution of crucial meetings, including the Monday Technician Huddle, Safety and security briefings, Project Management sessions, and various technician-oriented meetings. Ensure clear communication of company updates and directives in these sessions. Meticulously document all discussions, decisions, and necessary follow-up actions to maintain thorough records and accountability.
  • Data-Driven Reporting: Utilize advanced software tools to generate comprehensive reports and workflows on technician scheduling, certification tracking, personnel reviews, and training progress, enabling informed decision-making.
  • Department Organization: Expertly develop and meticulously maintain the technician dashboard, SharePoint, and other collaborative platforms. Your role is to ensure these systems are not only professional and consistent but also continually up to date. It's crucial that all data and resources are readily accessible, current, and user-friendly, providing our field technicians with the seamless access they need for peak performance.
  • Logistics Coordination: Assist with travel approvals and oversee the completion of expense reports, timesheets, daily reports, and other critical documentation by technicians. Your focus is on accuracy and timeliness, ensuring operational processes run smoothly. Always maintain professionalism to provide exemplary support and coordination.

The Necessities

  • Required Credentials: Possess a valid state driver’s license and a current CPR/First Aid certification. Hold an Associate degree or have a minimum of 2+ years of relevant experience in a similar field. Additionally, you must have at least one pertinent professional certification to qualify for this role.
  • Advanced Software Proficiency: Must possess advanced skills in Microsoft Office 365  from the outset and Smartsheet and ERP software proficiency within 6 months. The role requires handling complex data and project management tools with expertise.
  • Exceptional Administrative, Communication, and Organizational Skills: Demonstrated excellence in administrative tasks with a strong focus on thorough follow-through. Outstanding communication abilities are essential for effective coordination and information dissemination.
  • Rapport Building and Leadership: Proven track record of building strong, trusting relationships with technical staff and management. Your role involves being a liaison and a leader, requiring both empathy and assertiveness.
  • Independent and Proactive Work Style: Ability to work autonomously and proactively in a dynamic, fast-paced environment. You should be self-motivated and capable of anticipating needs and addressing them promptly.
  • Detail-Oriented Multitasking: Exceptional attention to detail with the capacity to juggle multiple tasks simultaneously. This role demands a high level of precision and efficiency in all tasks.
  • Citizenship, Clearance, and Military Base Access Requirements: Candidates must be US citizens, eligible and able to meet the stringent requirements for obtaining a Secret Clearance and accessing military bases. This role also requires the successful completion of thorough pre-employment screenings, including detailed background checks and drug tests, to meet our high security and operational standards.
