Job description

The Community Events Coordinator works with the City of Broomfield Parks, Recreation and Senior Services Department, specifically the Recreation Division. This Recreation division is comprised of multiple areas within (Aquatics, Facilities, Youth and Teen, Senior Recreation, Athletics, TR, Fitness, Special Events) and all of these work both independently and collaboratively to ensure high quality services and programs are delivered to the community in a timely and effective manner. The overall culture of both the department and City and County of Broomfield is providing positive service to the community, while supporting the staff in their professional growth and development and personal life balance.

The Community Events Coordinator performs professional and administrative work in the planning, coordination, marketing and execution of signature Community Events. This role works in partnership with other employees, departments/divisions, external entities, and the public to deliver effective and innovative services as well as seeking ways to to integrate events, programs or services provided by the partners.

  • Manages event planning including development, implementation and evaluation of both current and future programs.

  • Solicits and coordinates with vendors, musicians and other performance based opportunities for special events.

  • Establishes trusted working relationships with City Council, City Manager's Office, Public Works especially Parks and Streets, Police, Media and Communications and North Metro Fire District

  • Collaborates with local non-profit organizations, schools, private businesses, and the public in supporting various special events.

  • Assists in preparation of the department's annual budget, including preparing estimates of event costs and revenues.

  • Ensures responsibilities are performed within budget and performs cost control activities such as monitoring expenditures to ensure sound fiscal control.

  • Maintains records, including registrations, reservations, permits, contracts, purchasing, accidents, vandalism, medical records, evaluations.

  • Answers inquiries through various communication formats, picks up supplies as needed, and registers participants and vendors in support of event planning.

  • Arranges rentals and use of the Recreation/Senior Center and other venues

  • Sets up venues and directs others in set up duties such as tents, tables, chairs, etc.

  • Assists with facility coverage at the Broomfield Community Center and Paul Derda Recreation Center as needed to support operations of both.

Education

  • Bachelor's Degree from an accredited college or university - required in recreation, communication, marketing, or hospitality and tourism with an emphasis in event management.

Experience

  • 2 years experience required in community event management.

  • Prior experience working with public and private partnerships and sponsorships, public or private boards and/or city council, or marketing and social media - preferred.


Or any equivalent combination of training and experience that provides evidence that the applicant possesses the Necessary Applicant Traits.

  • Working knowledge of techniques and principles of planning, directing and executing a variety of recreation and community special events/activities/programs

  • Working knowledge of the equipment, facilities, operations, and techniques used in community and recreation special events

  • Employ and enforce safety practices and procedures, including the proper use and care of materials, equipment, and facilities used, as well as the ability handle emergency situations

  • Exercise considerable initiative and sound judgment

  • Organize activities in order to complete tasks in accordance with priorities, address multiple demands, or meet deadlines and maximize efficiency

  • Effectively employ and demonstrate project management techniques

  • Ability to handle confidential information

  • Work from broad direction with limited supervision

  • Work well with culturally diverse individuals

  • Establish and maintain effective working relationships with other employees and the public

  • Anticipate and resolve problems, including escalation of issues to supervisor when appropriate

  • Ability to collaborate and work well with others

  • Work is generally scheduled Monday through Friday and requires additional hours including weekends, nights and holidays for scheduled events and programs.

  • Work is performed at City/County work locations with the ability to perform some duties remotely in accordance with Broomfield's remote work policy

  • Physical demands are described as medium (exert up to 50 lbs. of force occasionally, and/or up to 20 lbs. of force frequently, and up to 10 lbs. of force constantly to move objects).

  • Frequently required to sit, use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms; walk, talk and hear.

  • Specific vision abilities required by this job include close vision, distance vision, depth perception, ability to adjust focus, color vision, and peripheral vision.

  • The noise level in the environment is quiet.

  • Attend meetings as required during evening hours. Some meetings may be virtual or will require in-person attendance.

  • Requires indoor and outdoor activities.
