Position Overview:
We are seeking a motivated and detail-oriented individual to join our team as a part-time Administrative Assistant/Event Coordinator. This role is ideal for someone who can efficiently handle administrative tasks while contributing to the planning and execution of events related to the Poudre River Trail Corridor. This position will report directly to the Executive Director.
Key Responsibilities:
1. Administrative Support:
- Provide general administrative support to the organization.
- Manage correspondence, emails, and phone calls. Write thank you letters to donors, sponsors, and others.
- Maintain accurate and organized records, such as agendas and minutes.
2. Event Coordination:
- Assist in the planning and execution of events along the Poudre River Trail.
- Coordinate logistics, including venue arrangements, permits, catering, and equipment.
- Collaborate with team members to ensure successful event outcomes.
3. Communication:
- Draft and edit event-related communications and promotional materials.
- Draft, edit, and publish newsletters with input from the Executive Director and Board of Directors.
- Communicate effectively with volunteers, vendors, sponsors, and participants.
4. Data Entry and Management:
- Input and update data related to events, donors, and stakeholders.
- Generate reports and summaries as needed.
5. Tech Savvy and Social Media:
- Demonstrate proficiency in technology and social media platforms.
- Manage and update the organization's social media accounts and website.
- Utilize technology for efficient communication and coordination.
6. Flexibility:
- Willingness to work flexible hours, including occasional evenings and weekends as required by events.
- Ability to work both in-office and remotely as needed.
Qualifications:
- Being an outdoor / trail enthusiast is preferred.
- Previous experience in administrative support and/or event coordination is preferred.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Detail-oriented with a proactive and problem-solving mindset.
- Ability to work independently and collaboratively within a team.
