Job Title: Events and Chair Operations Coordinator

Job Summary:


The Department of Physiology and Biophysics in the University of Colorado School of Medicine welcomes an exciting opportunity to join our dynamic administration team. The Events and Chair Operations Coordinator will be providing operational support to the Department Chair, organizing, and implementing department events, and coordinating other various projects. This position plays a crucial role in ensuring the smooth function of the Chair’s operations, planning and executing various events, overseeing various projects as assigned from initiation to completion.

Key Responsibilities:

  • General Administrative Support: Provide administrative support, including managing schedules, coordinating meetings, and handling phone and email communications (drafting and proofread business correspondence, reports, and presentations to maintain a professional and polished image).
  • Travel Arrangements: Coordinate travel plans and accommodations for chair and lab recruitments.
  • Event Planning: Take the lead in planning and executing events, including logistics, venue selection, and coordination of vendors.
  • Event Budget Management: Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • On-Site Management and Communication: Oversee on-site event operations, troubleshoot issues, and ensure the smooth execution of events. Communication of Department events to the appropriate audiences.
  • Project Planning: Develop project plans, including timelines, milestones, and resource allocation, ensuring alignment with overall organizational goals.

Work Location:


Hybrid – this role is on site full-time with the possibility of 1 day remote once fully trained.

Qualifications:


Minimum Qualifications:

Entry Level:

  • A bachelor’s degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.

Intermediate Level:

  • A bachelor’s degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • One (1) year of professional-level experience in a business administration support role.

Senior Level:

  • A bachelor’s degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • Two (2) years of professional-level experience in a business administration support role.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Master’s degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a directly related field from an accredited institution.
  • Previous experience with event and project management.
  • Previous experience with administrative and/or faculty program support in an academic or medical setting.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Ability to perform independent decision making and problem solving.

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as:

Entry Level: $50,416 - $64,129

Intermediate Level: $54,864 - $69,787

Senior Level: $59,313 - $75,446

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
