We are looking for an Event Sales Coordinator to join our team! This position is concentrated in office administration and sales, but will also assist our Coordinator team in executing weddings. As such, an interest in weddings is a must! Prior experience in sales or hospitality is preferred. Our ideal candidate is organized, enthusiastic and personable!
SALES
- Provide in-person and virtual tours of the venue for potential wedding clients; Build custom event proposals; Maintain an expert knowledge of The Oaks, our services and our pricing
- First point of contact in Sales Funnel: Manage info email account, phone inquiries, walk in visits
- Stay in regular communication with the sales team regarding new bookings, promotions, new clients, cancellation requests, etc.
ADMIN
- Attend weekly Banquet Event Order (BEO) Meeting to review upcoming events
- Client Onboarding: Send contracts, collect retainers, carefully manage internal and external event calendars, manage Lead & Client databases
- Accounts Receivable: Coordinate with Accounting to invoice wedding clients for second half Site Fees; collect payments
- Menu Tasting Events: Assist in preparing for Menu Tasting Events, creating Banquet Event Order drafts and sending follow up emails to clients
- Assist Social Media Manager with collecting wedding photos from photographers
PROPERTY
- Manage In-House Linen Inventory: Pull linens for each weekend’s events and organize; take weekly inventory of incoming / outgoing linen
- Office coverage on busy event days and quieter, non-event days: greet visitors, answer phones, check voicemails, maintain office supplies, clean and tidy office spaces, open and close the venue
- Maintain clean and tidy décor closet and manage Lost & Found
- Assist with light cleaning and tidying duties as needed, watering indoor / outdoor plants & flowers
WEDDING DAY: OPENING ASSISTANT
- Act as an exemplary representative of The Oaks and the client hosting the event
- Execute beverage and lunch service for wedding party
- Serve alcohol to the wedding party (training will be provided – you must be 21 or older to serve)
- Setup for ceremony rehearsals as needed
- Begin Ballroom setup; place tables and reception chairs, throw linens, fold napkins
- Assist Oaks Day-Of Coordinator with detail setup (name cards, signage, guest book, centerpieces, etc.)
- Assist Oaks Day-Of Coordinator with Wedding Ceremony (seating and directing guests, collecting wedding party and family members, coordinating music, executing processional)
POTENTIAL OPPORTUNITIES
- Potential to work events as part of the Service Team and assist Day-Of Coordinator with executing the full event
- Assist Social Media Manager with photos for social media stories on event days
- Assist Social Media Manager with The Oaks Real Weddings Blog
- Assist Coordinator Team with styled shoots, open houses, wedding showcases, etc.
- Work menu tasting events for wedding clients
- Future potential to move to Event Coordinator
SCHEDULE
- Full weekend availability is required during wedding season (April through October) and partial weekend availability is needed for tour availability throughout the slower season
- Because our event schedule changes from week to week, this position does not come with a set schedule – flexibility is key. Although we aim to establish consistency where possible, the schedule will also vary depending on the needs of wedding season .
- Although this position is technically part-time, we are looking for about 40 hours per week during wedding season and 30 to 35 during the slower season.
