Position Summary: Responsible for the management of a group of properties and fulfilling the manager’s obligations under the terms of the property management agreement. Reports to Senior Property Manager.
Essential Job Duties Include:
General
- Maintain role as secondary contact for tenants relative to tenant service requests.
- Assist management team with property inspections as required.
- Assist with new business generation and on-boarding new clients / properties.
- Proactively resolve requests and issues.
- Ensure compliance with Property Management Policies and Procedures, codes, regulations, and governmental agency directives.
- Enforce the terms and conditions of the lease, including court appearances/testimony as needed.
- Respond to emergencies on the property as they may arise.
- Provide and foster positive relationships with tenants, clients, and internal staff.
Financial
- Assist Senior Property manager in preparation of monthly and annual property budgets, reports, rent rolls, and projections as well as CAM estimates / reconciliations as required by SPM.
- Maintain interface with third-party owners and accounting team to ensure total contract compliance, including preparation of accurate and timely reporting.
- Track budget variances and ensure smooth recovery process.
- Review and provide approval for invoices; ensures all team approvals have been managed within their own established thresholds.
- Review and approval of all invoices for expenditures.
Vendors
- Preparation and management of necessary paperwork for approvals including bid packages and contracts with vendors.
- Establish and monitor preventive maintenance schedules. Prepare or supervise the daily work schedule for operations, and coordination of all work orders and conduct building inspections.
- Building Inspections - Complete Happy Co inspection reports with more detail for owners and to use as reference for work orders. Perform regular property inspections with staff.
Tenant Relations
- Assist Senior Property manager in solving tenant issues as they arise.
- Prepare default notices to tenants from inspections in accordance to lease terms.
Lease / File Admin
- Review/approval/responsibility for abstracting of leases.
- Project Management
- Assist Senior Property Manager with TI’s and Capital Improvements
- Oversee construction projects with project manager, including approving construction contract and invoices.
Facilities
- Interface with other internal departments to ensure proper maintenance of buildings and customer satisfaction.
- Assist Senior Property Manager w/ facilities management and scheduling.

Special Projects
- Assist Senior Property Manager with Special Projects as they arise.
- Participate in portfolio wide special initiatives and projects.
Perform all other duties and projects as required.
Minimum Qualifications - Education & Experience
- 10+ years of experience in property/facilities management.
- Prior supervisory responsibilities required.
- Excellent computer, communication, organizational and customer service skills, specifically excel and Yardi or MRI experience necessary.
- Knowledge of property management and terminology
- Management experience in a professional office setting, preferably in real estate or property management Inspection/verification of work (e.g., by vendors), go to site for after-hours emergencies when necessary.
- Real Estate license
ADDITIONAL ELIGIBILITY QUALIFICATIONS
- Strong knowledge of finance and building operations
- Proven experience in management, evaluation, development, and motivation of subordinates
- Ability to effectively manage a team of professionals, including both employees and vendors.
- Previous experience in analyzing and negotiating commercial lease and/or contract language.
- Advanced knowledge of Microsoft Excel
