The Center for Victims of Torture is hiring a Office Coordinator to provide primary administrative support to the Client Services team, including greeting visitors and directing phone calls, coordinating internal appointment scheduling, scheduling client transportation, supporting CVT and contract interpreters and maintaining client and program records. They will also provide clinic notary services and order supplies as needed.

- Remote status: 20% remote, 80% in-office; ability to travel to a variety of locations within metro area
- Full/part-time status: Full-Time, 30 hours per week
- Pay starts at: $17.23 per hour

We offer rehabilitation services to those who have been tortured, train partners around the world who can prevent and treat torture, and advocate for human rights and an end to torture. We are headquartered in Minnesota, and we have US offices in Georgia and DC, as well as offices in Africa and the Middle East.
Responsibilities:
- Clinic Reception: Serve in a receptionist function by creating a welcoming environment for guests, greeting clients and visitors, answering and redirecting phone calls. Alert staff to the arrival of clients or visitors.
- Coordinate Client Appointments: Schedule internal client medical, psychiatric, and physical therapy appointments. Provide reminder calls / texts to clients for CVT appointments. Notify clients, providers and interpreters of cancellation of appointments.
- Medical Transportation Scheduling: Schedule client medical transportation for internal appointments. Coordinate with Client Services Insurance Coordinator on client eligibility for medical transportation and problem-solve ongoing issues with providers. Coordinate client transportation needs with client's multi-disciplinary team. Work with the Volunteer Coordinatorto schedule and coordinate volunteer drivers in order to meet program needs.
- Office Coordination: Coordinate and maintain petty cash distribution. Maintain shredder security consoles. Assist with mail distribution. Provide clinic notary services. Order clinic supplies as needed.
Qualifications:
Required education, experience, certificates, licenses or registrations
- 2 years of full-time administrative experience in a professional setting
- Currently hold, or be able to obtain commission as Notary Public in Minnesota
Preferred education, experience, certificates, licenses or registrations
- Bachelor of Arts (BA) degree preferred
- Three or more years of full-time administrative experience in a professional setting
- Experience working with refugee populations and/or trauma survivors desirable
- Experience working with Electronic Health Records
- Familiarity with insurance and health care system desirable
- Experience working with interpreters desirable
- Fluency in a language (or languages) other than English strongly preferred
Competencies (knowledge, skills and abilities)
- Strong working knowledge of Microsoft Office suite (Outlook, Word and Excel)
- Excellent written, verbal and interpersonal communications skills
- Excellent skills in organization, attention to detail and time management (including the ability to meet deadlines)
- Interest in or commitment to human rights

- Typical office environment
- Time spent on the computer is approximately 90%
- Time spent in virtual meetings is approximately 10%
