Job Summary:
This position will be responsible for the completion of most administrative functions relating to the support of the Employee Benefits team. The individual must be organized, proactive, resourceful, professional, polished, and efficient with an ability and desire to work independently with limited supervision. The ability to interact with internal and external constituents in a fast-paced environment, sometimes under pressure, while maintaining a positive and professional attitude is crucial in this role. This role acts as the primary point person for renewal and new business enrollment implementation and service inquiries. This is a multi-faceted position dedicated to providing a consistently impeccable experience to colleagues.
Education/Training (or equivalent)
- License/Certification 2-15 license preferred
- Other High school diploma, or equivalent
Experience: (Type of work experience, minimum number of years of each).
- Minimum of 2 years prior customer service/administrative experience.
- 2-15 insurance license a plus.
Special Technical and Administrative Knowledge:
Excellent communication skills, friendly and outgoing personality, strong organizational skills, ability to respond with a positive attitude to requests effectively and efficiently. The ability to learn agency automation systems and other internet programs as required. Advanced skill level in Microsoft Office Suite 2016 including Word, Excel, PowerPoint, and Outlook. Experience successfully creating and/or modifying processes. This position requires the ability to think creatively when making decisions, and to develop original and inventive ways to solve problems. Proficient knowledge of Group Benefits products.

Unique Duties/Responsibilities:
Essential Functions include the following. Other duties may be assigned.
New Business & Renewal Functions:
- Facilitate new group and renewal installments.
- Attend potential new client meetings for clients that have a need for administrative and onboarding support.
- Lead the production of enrollment materials and packets.
- Attend Open Enrollment meetings, as needed.
- Complete spreadsheet enrollments or online keying of applications.
- Pull renewals from carriers and prepare renewal materials for EB Team to send to client.
Renewal Preparation:
- Produce pre-renewal and renewal schedules at the request of the Account Manager/Executive.
- Request claims history.
- Create premium loss summary, where applicable.
- Research and prepare premium finance agreement for Account Manager/Executive's review. Activate premium finance agreement and perform follow-up.
- Obtain MVR's, as required
Systems Maintenance: (Sagitta, Zywave, ThinkHR and WorkSmart)
- Direct EB Team in appropriate data-entry protocols.
- Identification of best practices & enhancements to ensure adoption.
- Verify all BOR's (gained/lost) and New Business in Sagitta.
- Training of EB technology tools.
- Assist in the maintenance of best practices for Client Service, renewals and new business through the use of WorkSmart.
- Serve as department expert on WorkSmart.
Administrative and Service Duties:
- Assist and train clients with carrier online tools.
- Handle minor Client Service-related inquiries and requests escalating to AM when required.
- Train on add/changes/terms into carrier websites in accordance with GSI service standards including FAQs and documentation.
- Maintain documentation on carrier websites.
- Conduct carrier invoice audits for client, as required by scope of client engagement.
- Responsible for ensuring all client documentation, both new business and renewal, is converted to electronic media and readily accessible by EB team members.
- Revises existing Employee Benefits Procedure Manual in conjunction with VP EB Service and other team members as needed.
- Attend marketing events and wellness fairs, as needed.
- Primary point person for projects that require the engagement of the EB department.
- Serves as back up service to EB Account Managers and EB Account Executives for vacations and unexpected absences.
Miscellaneous:
- Coordinate carrier training sessions and internal meetings.
- Participate in seminars and other training for knowledge and skill development.
- Coordination of bi-weekly meetings.
- Provide training of other employees when requested.
