The Position
The City of Claremont is looking for one highly motivated individual with a strong work ethic and exceptional customer service skills to provide a variety of specialized and responsible clerical support in the Community Services Department.
The Clerical Assistant will be responsible for maintaining several department databases, tracking bulk item pickups, automated containers, and insurance and contract terms. The position will also report graffiti and requests for maintenance submitted through the graffiti hotline and the City app, order supplies, file, and assist with any special projects. A strong commitment to customer service and attention to detail are critical in this position.
The position is part-time and requires 25 hours per week of work. This position is not eligible for benefits. Hours of work vary Monday - Thursday 8:00 a.m. - 5:30 p.m.
The Clerical Assistant may/will also:
  • Meet and greet the public, respond to visitors' routine inquiries both on the telephone and in person, refer to the appropriate staff member for more specific information and follow-up, and exhibit familiarity with all functions of the City.
  • Perform a variety of clerical work, including answering the telephone, taking accurate messages, typing, filing, checking, and recording information on records.
  • Use a laptop or personal computer to type routine correspondence, memoranda, and reports.
  • Types complex charts, graphs, reports prepared by others using the City's word processing, spreadsheet, and data processing software.
  • Provide support services to higher level clerical staff or other staff as assigned.
  • Perform mathematical calculations of average difficulty.
  • Independently compose more sensitive customer service letters and/or documents complex in nature.
  • Identify information that needs to be tracked and analyzed, develop ways to computerize manually kept records, and use relevant data to prepare draft reports.
  • Assist in the preparation of agenda packets.
  • Maintain routine files and libraries.
  • Receive, sort, and distribute incoming and outgoing mail.
  • Serve as an information resource for customers and co-workers.
  • Be able to explain department's policies and procedures

Ideal Candidate
Qualified applicants will have a high school diploma (or equivalent), some college level business courses, and one year of office work experience. Bilingual skills are highly desirable. Knowledge of computers, Microsoft Suite, and Windows are highly desirable. Qualified applicants must possess a valid Class C California driver's license and have a good driving record.
THE COMMUNITY SERVICES DEPARTMENT
The Community Services Department is responsible for managing and coordinating the work effort of three operating divisions: Maintenance, Solid Waste, and Motor Fleet. To deliver the high quality services necessary to fulfill the needs of the City Council and the citizens, the department has an annual operating budget of $17.2 million and 38 full-time employees across all divisions.
The Maintenance Division oversees all sewer, street, and sidewalk maintenance; public facilities maintenance; and maintenance of the City's urban forest. The Solid Waste Division is tasked with providing residential and commercial sanitation services, including trash pick-up and recycling. Lastly, the Motor Fleet Division is responsible for maintaining the City's fleet and contracted fleet services, including the Inland Valley Humane Society and Claremont Unified School District fleets.
Community Services has an annual work plan that includes implementing applicable sustainability actions listed in the Sustainable City and Embedment Plans, and increasing sustainability efforts throughout City facilities and programs. Among other plans, Community Services is responsible for maintaining the landscape and facilities surrounding the iconic Claremont Village.
