General Summary: The Chief of Staff at Gonzaba Medical Group is responsible for managing the day-to-day operations of the Executive Office while serving as primary liaison to internal and external partners on behalf of the CEO. This position facilitates efficient execution of the CEO’s portfolio of activities by vetting internal and external requests, directing assignments to appropriate staff, working closely with the CEO’s direct report team, managing internal and external correspondence, spearheading special projects for the CEO, taking the lead on communication, and managing special events.
This is a highly strategic and facilitative role that requires a combination of focus and flexibility to strategize and plan for Gonzaba Medical Group’s current and future success. As the CEOs ‘trusted advisor’ this role requires a down to earth individual who aligns with GMG’s core values ofRespect, Pride, Service, and Integrity. Supervisory Responsibilities: Supervision of the Executive Office Administrative Assistants.
General Requirements:
- Advise the CEO on organizational and departmental priorities as appropriate and drives and supports necessary content preparation.
- Project coordination follow-up point of contact and liaison to CEO. Monitor progress/achievement of next steps, timelines, and milestones.
- Provides strategic input into the planning and follow-up of all the priorities and requests of the CEO.
- Liaison with Community Leaders
Essential Job Responsibilities:
- Communicate the CEO’s directives by coordinating and overseeing workflow in a fast-paced, rapidly changing work environment.
- Develop and execute action plans to contribute to the success of Gonzaba Medical Group.
- Manage special projects, including but not limited to special events, meetings, and other tasks as requested by the CEO.
- Develop and maintain an inventory of departmental and business projects for which his awareness and involvement is essential.
- Provide oversight of the preparation of all materials for the CEO’s schedule including speeches, presentations, correspondence, and other administrative functions.
- Work with leadership staff (clinical and non-clinical) to align their actions and communications in support of agreed upon goals. This role will be to work with all staff to ensure that the CEO’s needs are conveyed, that progress is being made in a timely way.
- Exercise discretion and independent judgment
- This position requires driving a company vehicle or a personal vehicle; therefore, employee must successfully complete a motor vehicle history check, possess and maintain a current valid Texas Driver License, and proof of current insurance.

Education and Training: Bachelor’s degree in Healthcare Administration, Business Administration, or closely related field, required. Master’s degree preferred.
Experience: Strong work tenure of three (3) to five (5) years of experience working in direct support and an advisory role of a senior leader in management, operations, or communications required. Experience with healthcare and management required. Experience in working with a leadership team preferred.
Other Requirements:
- Computer Skills: Knowledge of word-processing software, spreadsheet software, presentation software, email software, and Internet browsers. Knowledge of Evernote or other desktop and mobile productivity and organizational tools preferred. Knowledge of social media platforms preferred.
- Driving Skills: Clear driving record, a Class C Texas Driver’s License, and a personal vehicle is required
Work Environment: Depending the area assigned, may be 100% clinical setting or office setting in a clinical environment. Exposure to communicable diseases, bodily fluids, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
Mental/Physical Requirements: Requires manual dexterity, sitting, stooping, reaching, kneeling, crouching, bending, walking, and lifting up to 40 lbs. Close vision and ability to adjust focus.
