JOB SUMMARY
This position is responsible for assisting the event planners and sales team with all daily tasks including detailing client's orders, confirming order details, assisting on phones, and collecting payments. In addition, this position assists with overseeing all bookkeeping and accounting aspects of the catering department. In partnership with the Catering Assistant Manager, they will help track sales, invoices, and venue licensing/permitting. In non-peak business times, this individual will perform venue and client outreach to grow catering's presence in the marketplace.
ESSENTIAL DUTIES & RESPONSIBILITIES
The following description of work to be performed by this individual is not intended to be all-inclusive. Rather, it focuses on the major tasks that must be accomplished. There are many necessary activities to satisfy any of the following performance guidelines.
- Provide assistance to all Lunds & Byerlys team members modeling company customer service standards at all times
- Act as a liaison between event planners and the Catering Assistant Manager to address questions and concerns
- Complete all confirmation calls and payment processing according to process deadlines
- Ensure expense and mileage reports are submitted accurately by front-of-house team members
- Ensure proper processing of new vendor paperwork and client invoices
- Assist in developing order, sales, and other financial reports. Analyze and interpret data to maintain a profitable operation
- Ensure accurate and timely catering store reporting
- Collaborate with finance department to provide updated licenses to venues, apply for new licenses, and ensure event planning team has access to applicable licenses
- Maintain a partnership with the accounting team to assist with financial tasks as needed
- Identify and form relationships with event venues/park departments to establish our operation as a premiere catering vendor
- Foster relationships between the event planning team and venues by maintaining payments, ensuring consistent communication, and following all venue SOP's

MINIMUM QUALIFICATIONS
- Education
- High School diploma or equivalent experience
- Post secondary education or equivalent experience is desired
- Experience
- Two or more years' experience in an administrative assistant and/or sales role
- Catering/events experience is a plus
