Logistics Coordinator, Catering Design
Job Summary
Logistics Coordinator, Catering Design is directly responsible for handling all pre- and post-design production for individual events.The Logistics Coordinator provides a critically important link between the Catering Design Manager and the rest of the Paula LeDuc team.
Position Responsibilities
Administrative and Organizational
- Attend weekly Planning and Culinary Production meetings.
- Review and produce Buffet Maps and Design Packing Lists for assigned events according to the agreed-upon timeline.
- Responsible for Post Event Note (PEN) follow-up and continuous improvement of assigned events.
- Maintain department calendar (setup & production timelines for design production).
- Maintain organization of inventory and design equipment.
Event Production
- Work with the Catering Design Manager to manage the execution of food station design.
- Attending assigned events to set up and finish buffets.
- Provide single-point accountability for internal clients for all assigned events.
- Determine hors d’oeuvre platter selection for assigned events.
- Trained in buffet design and ability to design buffets on an as-needed basis independently as well as alongside the Catering Design Manager.
- Assist in the platter selection for event buffets with the approval of the Catering Design Manager.
- Communicate buffet design requirements in weekly Culinary Production and weekly planning meetings.
- Participate in department projects as directed.
Essential Skills
- Must have strong knowledge and experience with design and a curiosity and passion for food.
- Must be able to read, write, and communicate verbally with team members in the workplace’s primary language (English).
- Able to prioritize and re-prioritize task list as needed.
- Must have reliable transportation to and from events throughout the Bay Area and Sonoma/Napa counties and be willing to attend the setup of events regularly.
- Open and available for improvement opportunities suggested by supervisors.
- Maintain respectful, timely, and efficient communication through the database, emails, and general staff meetings.
- Be able to work independently as well as collaborate with the Catering Design Manager regularly.
- Comfortable in a multi-task environment with frequent interruptions, short deadlines, and a high degree of pressure.
- Be highly organized and detail-oriented.
- Must possess the communication and interpersonal skills necessary to interact with management and staff at all levels.
- Adequately represent the organization when in contact with vendors.
- Possess excellent basic math skills.
- Proficient in Word, Excel, Adobe, and Outlook strongly preferred.

- While performing the duties of this job, the employee is required to sit in front of a computer screen up to 8 hours and walk/stand and sit in meetings. The employee must occasionally reach, bend, stoop, and lift up to 20 lbs., reach overhead, climb ladders, and have the stamina to work up to 60 hours a week during the peak season.
