Job Title: Catering Coordinator

Job Summary:
Assists in the execution of events and functions, as well as all other member-related activities to ensure that the goals are attained for each event.
Essential Duties & Responsibilities:
- Meets and greets members, schedules appointments, and assists callers with information as requested.
· Works with the Director of Club Events on the planning, preparation, and execution of events.
- Coordinates and assists with the set-up for each scheduled event.
- Prepares and sends out daily BEO’s to directors and managers to ensure everyone is up to date with all events.
- BEO’s, whether revised or added within 2 days of the event date, must be walked to the banquet and culinary teams.
- Schedules and blocks off rooms for member events, as well as employee events or meetings.
- Intakes and processes special orders and requests from Club Members to include but not limited to take out orders, holiday orders, special event reservations, event inquiries and floral arrangements.
- Communicates required safety procedures and protocols, by providing safety alerts, safety acknowledgement forms, and shift briefings to department management.
· Assists the department with other responsibilities as indicated by the Director of Club Events, Director of Catering, and Director of Food & Beverage.
· Provides necessary food labels, menu cards, and place cards for both club and private events.
· Ensures the Catering office BEO binder is up-to-date with updated BEO’s and floor plans.
· Interfaces with members regarding problems, questions, and miscellaneous matters.
· Communicates with members, co-workers, management, and the general public in a courteous and professional manner.
· Conforms with and abides by all regulations, policies, work procedures, and instructions.
· Exhibits and maintains a professional demeanor and grooming standards to reflect a positive image of The Club at Admirals Cove.
· Performs other duties as assigned by the Director of Club Events.
Knowledge, Skills, & Abilities:
· Requires excellent organization skills.
· Ability to assess the members’ needs and evaluate their satisfaction when the event is complete.
· Must have knowledge of food & beverage processes; knowledge of logistic planning; billing/crediting and processing payments.
· Requires good problem-solving skills, troubleshooting on-site and off-site events, interpersonal skills, leadership abilities as well as a take charge attitude.
· Ability to analyze data and prepare reports.
· Ability to verbally communicate well in English and in writing.
· Ability to understand and carry out verbal and written instructions in English.
· Ability to interact professionally and maintain effective working relationships with superiors, co-workers, and members.
· Must be able to multi-task and work in a fast-paced environment.
· Must have a flexible schedule, including working on evenings, weekends, and holidays.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
