Catering Coordinator
Summary:
Administers and coordinates systems and projects that support all the business strategies of the Catering Department. Supports the department with other additional projects as needed. Assists Catering Department with leads, sales calls, and coordination of all events.
Proactively communicates and collaborates with external and internal customers to coordinate information needs and functional requirements. Engages simultaneously in multiple initiatives and monitors progress. Collaborates with all Operational Managers and Directors as necessary.
Nature and Scope:
- The incumbent reports directly to the Director of Catering. The major thrust of the position is to support the Catering operation.
Duties and Responsibilities:
- Maintain and administer Catering databases with current recipes, SOP’s and related data for the operation.
- Give site inspection tours to potential clients.
- Book and coordinate the sales of Catering Functions with the supervision and approval of the Catering Manager.
- Assist in the planning and organizing of catering events (i.e. Flowers. Music, Decoration, Entertainment, Menus, and Guest Lists).
- Maintain the Catering Function Log Book as well as the Catering Bible.
- Maintain Catering Menus.
- Responsible for submitting all Catering Payroll and Subsidized Payroll for the Banquet Department and the distribution of checks.
- Organize and distribute Weekly Banquet Event Orders.
- Maintain Catering Budget and processed all bills and invoices.
- Maintain Catering statistics of month-to-date and year-to-date figures.
- Issue and log a Daily Recap of Events.
- Produce the Banquet Event Orders for parties sold and all in-house events.
- Order supplies and maintain inventory of necessary stationary supplies.
- Answer phone calls and handle all correspondence for Catering and general operations
- Perform other job-related functions as assigned.
Minimum Qualifications:
- Two to three years related experience and/or training; or equivalent combination of education and experience.
- Three years of direct experience in food and beverage operation with a background in event planning/coordination or related. Experience in and knowledge of general aspects of hotel operations.
- A high school diploma or equivalent is required.
- Must have a valid Driver’s License.
Knowledge, skills, and abilities:
- Good computer skills including spreadsheets, word processing, and e-mail
- Working knowledge of culinary, bar, and restaurant service practices, purchasing systems, records, and operational procedures.
- Proficiency with Microsoft Office Suite, including intermediate-level Excel, Word, and Outlook with advanced-level PowerPoint skills.
- Knowledge of or ability to learn POS systems, preferably Micros and SilverWhere for restaurant reservations management.
- Excellent time management and organizational skills to monitor and maintain project milestones and progress. Ability to organize and complete work in accordance with established timelines.
- Ability to work well under pressure, handle multiple projects and shift priorities based on business demands. Interpersonal communication skills to work effectively with peers and superiors.
- Verbal and written communication skills to interact professionally with a diverse group, of executives, managers, and subject matter experts.
- Ability to communicate information tactfully.
