Primary Responsibilities: Business Office Administrative Assistant
This position is a key team member, working closely with the Administrator and EF Senior Care leadership. The primary role of this position is to assist with maintaining the smooth operation of our facility. Confidentiality, timeliness, and accuracy are critical traits of the Business Office Administrative Assistant.
The Business Office Administrative Assistant is an essential link between residents, families, and our facility. Coordinating the functions of the Business Office, including maintaining an accurate daily census, assisting corporate office with accounts payable and accounts receivable tasks, offer support to families with billing questions, processing weekly payroll, human resource support and benefit management, purchasing office supplies, records management and answering the phones.
RESPONSIBILITIES: Business Office Administrative Assistant
- Financial Management: Coding and scanning accounts payable, supporting accounts receivable and preparing/scanning deposits.
- Billing and Collections: Assisting with the billing process for services provided by the facility.
- Compliance: Ensuring compliance with all applicable regulations, guidelines, and laws related to Business Office operations.
- HR Management and Support: Assisting with hiring of new personnel, including background checks. Maintaining employee records and benefits.
- Record Keeping: Maintaining accurate records of financial transactions, patient information, and other administrative details.
- Communication: Collaborating with other departments within the facility and external stakeholders such as insurance companies.
- Problem-Solving: Identifying and resolving problems related to the operation of the Business Office and the facility as a whole.
The Business Office Administrative Assistant must possess financial management and communication skills and have a working knowledge of healthcare regulations and guidelines. Additionally, they should be comfortable working with diverse stakeholders, including patients, families, staff, and external partners.

QUALIFICATIONS: Business Office Administrative Assistant
- Bachelor's degree preferred or comparable relevant recent experience.
- Ability to assist with billing, accounts payable and accounts receivable functions efficiently and accurately.
- Excellent computer skills (light bookkeeping, word processing, and spreadsheets).
- Excellent follow-through and attention to detail.
- Strong written and verbal communication skills with residents, management, staff, and families.
- Ability to multitask and prioritize.
