The overall objective of this position is to act as a liaison and facilitate communication between visitors and Point Eight Power employees.
· Support the company’s strategic objectives and Client Value Proposition by providing exceptional service during employee and client face-to-face interactions by:
· Greeting persons entering establishment, determining nature and purpose of visit, and directing or escorting them to specific destinations.
· Providing information about establishment, such as location of departments or offices, employees within the organization, or products and services provided.
· Providing job applicants with hiring information such as position openings and the application process.
· Managing the visitor check-in/checkout process including distributing visitor badges.
· Maintaining and projecting a “Front Desk” appearance, personality and demeanor at all times.
· Coordinate internal communication by efficiently:
· Answering, screening, and forwarding calls to appropriate personnel.
· Providing callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
· Relaying messages.
· Using the intercom system to communicate with personnel & provide information.
· Support internal staff by:
· Prioritizing and coordinating delivery of incoming and outgoing mail.
· Maintaining and organizing supply closets including ordering, receiving, stocking and distribution of office supplies.
· Assisting in clerical duties such as photocopying, faxing, filing, and collating.
· Support strong vendor relations and financial integrity by timely and efficiently:
· Scanning all vendor invoice and related documents into the RVI system.
· Matching and indexing all open vendor invoices in our Accounts Payable system.
Required Skills
· Intrapersonal Skills: Self-motivated and able to identify, examine, and resolve issues independently from others. Hold a strong regard for guidelines, procedures and integrity.
· Computers and Electronics: Knowledge of computer hardware and software, including applications and programming such as Microsoft Office Business Suite.
· Verbal & Written Communication Skills: This position requires basic skills (Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization).
Math Skills: This position requires minimal skills (add, subtract, etc.).
Required Experience
· High School Diploma/GED, required.
· 2 years of office or clerical experience, required.
