Working under the supervision of the Billing Manager, the Maintenance Billing Specialist will enhance a trusting relationship with our customers by providing a single point of contact for creating maintenance invoices, invoice delivery, research and credits: Anticipating the customers’ needs and assisting in communication with all operational Departments.
Essential Job Duties
- Data Entry: Entering customer information into the accounting system and onboarding customer contract information for Sales and Account Managers.
- Process customer ACH (EFT) or credit card payments.
- Create customer proposals and invoices.
- Review contracts for needed information.
- Maintain business relationships with clients and keep them interested in our products and services by providing exceptional customer service.
- Correspond with customer for services sold via email and phone.
- Responsible for reporting and Excel Spreadsheets communicating contract statuses and Aging reports using Word, Excel, and Outlook.
- Reconciling accounts on month-to-month basis to ensure there are no gaps in billing.
- Maintaining internal portal and updating system with customer information.
Qualifications/Basic Job Requirements
- Experience in customer service with high telephone contact
- Word, Excel, and Outlook knowledge
- Must have good verbal and written communication skills.
- High degree of attention to detail, trustworthiness, and collaboration
- Understanding of various software applications, including MS Office Suite and NetSuite (NetSuite Experience a plus)
- Possess ability to prioritize multiple projects and function with little or no supervision to meet deadlines
Education and Experience
- Experience in Customer Service - minimum 1 year
- Experience in an office environment – minimum 1 year
- Experience in Collections a plus
- High School Graduate or GED
- Some College or Technical School a plus
