Job Description
Office manager/Controller manages the accounting operations of the business, and is responsible for the direct supervision of all Kiefer Mazda accounting functions. He or she maintains an adequate system of accounting records and a comprehensive set of controls and budgets designed to mitigate risk. In addition, this position develops periodic financial reports that comply with generally accepted accounting principles.
He or she will also be a part of a team that creates and implements policies and procedures to identify, resolve and document accounting positions in addition to creating procedures to make the Company's accounting processes more efficient. The Office Manager is a key member of the senior leadership team, and works closely with senior managers on a daily basis.
The ideal candidate has a degree in Accounting or Business Administration and at least three years of experience in a position of similar responsibility. He or she must be detail-oriented and good with numbers and proficient with accounting software and Microsoft Office applications (Word, Excel, and Outlook). Certified Public Accountants (CPA) preferred.
RESPONSIBILITIES
prepares and analyzes dealership financial statements monthly according to dealership guidelines and within each manufacturer's format and time frame; Ensures that all manufacturer accounts, including warranty claims, rebates, interest protection and co-op advertising are current and accurate.
- Interprets the financial statement and the daily operating control (DOC) regularly and informs dealer of developing trends; Participates in the preparation of short and long term financial forecasts for the Dealerships.
- Prepares and analyzes dealership financial statements monthly according to dealership guidelines and within each manufacturer's format and time frame; Ensures that all manufacturer accounts, including warranty claims, rebates, interest protection and co-op advertising are current and accurate.
- Reports the financial condition of the total dealership to the dealer/general manager regularly and accurately; provides sales and expense analyses summarizing potential problem areas and opportunities for improved profitability relative to monthly and annual forecasts.
- Review the reconciliation of general ledger accounts with outside sources to ensure proper bank reconciliation, reserve accounts, factory payable, and floor plan payable.
- Ensures that all office personnel are using proper accounting procedures and maintaining accurate records. Analyzes and supervises the preparation of all information for the CPA in order to minimize audit or review costs.
- Ensure all accounting is performed in accordance with Generally Accepted Accounting Principles (GAAP).
- Stays abreast of tax code revisions and advises dealer regarding any operational adjustments needed to accommodate revisions.
- Manage and safeguard Company assets to ensure proper internal controls are in place.
- Complies with local, state, and federal reporting requirements and tax filings
- Manage cash flow, budget and expense structures for dealership.
- Monitor and control inventory levels.
- Direct dealership accounting staff in regards to all receivable accounts.
- Manage month end close process including dealership reviews, month end entries, preparation and transmission financial statements.
- Conduct periodic audits to streamline processes and ensure best practices are being used.
- Performs other duties as assigned
QUALIFICATIONS
- College degree in Accounting or Business Administration; CPA highly desirable.
- At least three years of progressive and relevant experience in the Retail Automotive Industry.
- Strong computer and internet skills, including Microsoft Office suite
- Experienced with business applications and accounting software
