As Assistant Depot Manageraccountable to
  1. Lead operational support of Depot activities
  2. Oversee Depot staff and provide operational support of all depot activities
  3. Assist Administrative staff as needed in support of depot logistics
  4. Collaborate with Reefer Loading Manager regarding loading logistics and Retek documentation submittal
  5. Act as the intermediary between Category Managers, Store Managers, Executive Management and Depot staff and activities
  6. Develop, manage and sustain excellent communication and viable relationships with
3PL facilities, vendors, carriers, and Category Management staff
  • Provide relief management for Reefer Loading Depot when Manager is away from the Depot during the year
    1. Manage document support for AES and BOL processing to stores
    2. Oversee bill of lading construction and submittal that is both timely and accurate using carrier designated processes, typically web based, that meet US regulatory compliance for security and allow for the expeditious movement of cargo to the intended destinations
    3. Responsible for reporting compliance of US Census Department for statistical detail and US Department of Homeland Security Shippers Export documentation for cargo identification and pre-shipment clearance to destined stores in a timely manner. Requires 100% compliance to avoid penalties and disruption of cargo movement and Company bond security
    4. Ensure all country specific and other government documentation requirements are accurate and submitted in a timely manner
    5. Responsible for maintaining a running log of all HAZMAT products that ship to the
    stores. This includes proper HAZMAT documents from our vendors, proper IMO documents with approval from our Carriers prior to container loading and the correct HAZMAT placard(s) and placement on the container as required by DOT
    1. Provide overall support of documentation submittal of export/import for store locations
    2. Inspect shipment reports and pallet tags for dry depot and submit via PCIT the documentation inspection request for Phyto Certification inspection for PPQ by USDA Agriculture
    3. Oversee process of goods moving through dry depot with appropriate USDA agency to
    approve documents for export, monitoring container load identification and submitting documents to Clearing Agent in time for Customs clearance
  • Manage the CUL Reefer Log to inspect items for USDA Meat and Dairy submittal. Identify items and make sure affidavits are on file with the applicable USDA. Support as needed the creation of applications for APHIS submittal of export documents in order to get pre-shipment certificate approval to load containers
  • Monitor 3PL responsibility of USDA Meat inspection and sign off by inspector and veterinary approval of submitting documents to Clearing Agent in time for destination clearance. This includes providing copies and identifying container location of the product to our destination Agent for pre-clearing and appointment scheduling with Customs and/or other involved country agencies
    1. Perform local dispatching that is cost effective and timely to ensure goods arrive properly at the depot
    2. Assemble and organize shipments, ensuring accurate detail, analyzing shipment
    particulars for the obtainment for competitive quotes meeting service level agreements
  • Manage expectations of vendor and carrier partners, communicating routing instructions for timely delivery and acceptance at our depots
  • Collaborate with the Category Management team to ensure proper traffic details are in place, purchase orders reconcile with actual vendor activity and freight burdens cover the actual freight expenses
    1. Manage dry outbound shipments
    2. Make bookings and keep knowledge of vessel schedules and port events that are related with the transportation of containers
    3. Maintain good communication with warehouse loaders and truckers to keep a continuous flow of goods
    4. Create all documentation, such as invoices, EEI's, shipping instructions, and commercial invoices for outbound shipments and submit them to the appropriate departments
    5. Create a container list for each individual vessel line and communicate via email to
    Carriers to confirm the loading of all containers and proper documentation preparation
  • Create and provide documents to customers, freight forwarders, and store manager for the release of outbound shipments
    4.0 Job Experience, Education and Qualifications
  • Must be able to get Port clearance
  • Previous depot/warehouse operational management experience, 2-3 years, a must
  • 2-3 + years shipping experience specifically with cubing containers
  • Must be familiar with different types of containers that are used when loading refrigerated or dry product
  • Must be familiar with exporting rules mandated by Customs and Border protection.
  • Must have intermediate math and reading skills
  • Must have intermediate to advanced computer skills
  • Must be able to type a minimum of 45 words per minute (WPM
  • Able to correctly manage time effectively to meet deadlines and targets
  • Intermediate knowledge and ability to use MS Office 2007 and above
  • Intermediate to advanced 10-key skills a must
  • Automated Export System (AES) experience preferred but not mandatory
  • Possess a passion to excel and provide excellent customer service to both internal and external customers, carriers, store personnel, and Management
  • Strong work ethic within a team environment 5.0 Role Specific Competencies

  • Must be able to pass Drug and/or Alcohol test when requested by Company Management

  • Majority of shift spent sitting working on a computer and filing. Small percentage of time standing
  • Able to work in an office environment in a warehouse setting 7.0 Financial Scope Accountable for meeting and/or exceeding annual expense and margin targets of the depot
    Accountable for ensuring all goods are properly stowed for travel, free of damage upon arrival at destination and arrive in a timely manner
