Position Overview:
The Assistant to theCollege Librarian & Operations Manager works with the College Librarian in all areas of library management, including personnel, budgets, library building issues, library-wide policies, and special projects. In the College Librarian's absence, the Assistant to theCollege Librarian & Operations Manager oversees the administrative operations of the Library. This position supervises the Curator, Robert C. Larson '56 Art in the Library Program, and the Library Administrative Assistant.
Carleton College Library is a member of the Bridge Consortium and works collaboratively and in tandem with peers at the St. Olaf College libraries to ensure that work is not duplicated and that costs are contained or reduced. Additionally, this position may be asked to provide services to the St. Olaf College libraries, and is responsible for participating in all appropriate Bridge working groups, meetings, and functions.
Essential Job Functions/Responsibilities
- Work with College Librarian on personnel issues, hiring decisions, and policy implementation
- Work with College Librarian in development and allocation of the annual budget
- Maintain and monitor library budgets including tracking expenditures and maintaining spreadsheets
- Advise College Librarian on department and library projects and issues
- Maintain a high level of confidentiality in all aspects/ duties of the job
- Work with College Librarian on creation and management of 5-year future planning for library
- Oversee all building operations, processes and projects
- Manage vendor contracts related to library operations
- Work with campus departments on library projects
- Member of the Library Leadership Council
- Oversee library recruitment policies and processes
- Write and implement library-wide policies
- Gather and report library statistics as required by IPEDS, ACM, Oberlin Group, ACRL and others as requested. Maintain statistics spreadsheets.
- Develop and monitor annual Bridge budget with library directors at Carleton and St. Olaf
- Work with the College Librarian on collaboration issues and projects

- Participate on library committees, as well as other campus committees
- Other duties as assigned
Supervision Received and Exercised:
Reports to College Librarian. Functions with minimal supervision from the College Librarian. In absence of College Librarian, exercises independent judgment and discretion on issues that arise related to library management.
Education/Experience/Skills (supported by job duties)
Required Qualifications:
- Bachelor's degree and/or five or more years of experience in executive level administrative operations
- Excellent communication and public relations skills with the ability to foster positive working relationships and build partnerships
- Excellent organizational and time management skills
- Excellent computer skills with advanced knowledge of word processing and database management programs
- Excellent accounting knowledge and skills
- Flexibility, enthusiasm, and ability to work effectively as part of a team, as well as independently
- Ability to adapt to a rapidly changing environment
- Demonstrated ability to maintain a high level of confidentiality
Preferred Qualifications:
- Previous experience in a library setting with knowledge of various library operations and equipment is desirable
