JOB SUMMARY
This position provides on site administrative and other Property management support to the Property Manager.
DUTIES AND RESPONSIBILITIES
1. Inspections, common area building and tenant space.
2. Collections/Explanation of charges/obtaining and providing necessary back up
3. Address HVAC issues, light replacement, restroom issues, cleaning issues, elevator issues, etc.
4. Provide access to locked electrical/mechanical rooms for contractors.
6. Monitor parking spot violations and prepare parking agreements as needed.
7. Respond to requests for keys.
8. Notify vendor or maintenance to repair exterior landscaping issues (sprinkler/weeding, sod, etc.).
9. Answer lease questions/discussions with tenants.
11. Order signage-new signage/revisions, changes.
13. Monitor access cards – new, deletions, replacements.
14. Update tenant parking list and emergency lists.
16.Update Janitorial square footage lists as needed.
17. Monitor office supplies, equipment repairs.
18. Collect the maintenance monthly inspection reports (exit/emergency lighting, roof, fire, extinguisher, etc.).
21. Complete and send out tenant informational memos (no smoking, fire alarm test, parking, security, upcoming events).
23. Ongoing discussions with contractors – regarding misc. Bldg problems, quotes, etc.
24. Complete parking agreements.
25. Complete hold harmless agreements.
26. Interaction with tenants re: maintenance requests, leasing matters, slip and fall issues; incident reports.
27. Process and track work orders of tenant/management requests for services and distribute to maintenance technicians. Dispatch maintenance staff as needed.
28. Invoice tenants or contractors.
29. Schedule subcontractors as required.
30. Update and distribute management office records as required (i.e. tenant address lists, etc.).
31. Track and code bills and invoices for each property, prepare all vendor invoices for the Property Manager’s review and approval.
33. Answer multi-line telephone system.
36. Process Seven Day Notices for delinquent tenants.
38. Obtain quotes for materials and services from subcontractors.
40. Coordinate special events that take place in the Property.
41. Sensitively handle confidential matters, including disciplinary proceedings and privileged communications and records.
43. Assist the Property Manager in the timely, quality completion of miscellaneous tenant requests.
44. Provide administration staff support to the Property Manager
45. Handle multiple tasks simultaneously.
48. Prepare correspondence to tenants (welcome letters, rental increase letters, etc.).
49. Document problems, concerns or issues and forward to the Property Manager when appropriate.
50. Prepare and submit expense reports on a timely basis when appropriate.
51. Prepare documents and general paperwork to support the management office.
53. Order supplies.
54. Communicate with Accounting dept regularly regarding tenant receivables and vendor payables
55. Track vendor billings and accruals.
56. Maintain management office when Property Manager is at properties.
57. Other duties assigned.
