In this role you will support our Facilities Manager in managing the day to day functions of our property, including two resort-style buildings.
This is an hourly position, Monday - Friday 9am - 5pm, with a pay range of $20-$21 per hour, based upon experience.
Under the direction of the Facilities Manger, you will assist in ensuring the facility is maintained, its functions are running smoothly, and it is always in excellent condition.
Specific duties will include:
- Communication: You will be expected to have clear communication with the Executive Director, Facility Manager, Program Director, Clinical Team, and Regional Property Manager in addition to the on-site support staff. You will also be required to communicate with the Accounting Department located at the Business Office.
- Reception: Answering phones, taking messages, sending emails, shredding papers, making calls to vendors for quotes and maintenance calls.
- Errands: Pumping gas, grocery runs, checking mail, picking up and delivering mail to the post office, watering the planters and plants, ensuring all equipment is working (pool table ping pong table, spa, TV, etc., and other miscellaneous errands.
- Stocking items: Ensuring that all office, janitorial, kitchen and clinic supplies are properly stocked. Coordinating with staff to ensure that office, snacks and supplies are maintained at the cottage and main house with enough stock for at least 7-10 days.
- Transport: Delivering food when GS staff is unavailable, filling in for housekeeping and janitorial services during call-outs with GS staff, dropping off and picking up residents to/from the clinic as needed.
- Purchasing: Ensuring both houses (cottage and main house) have adequate stock without being overstocked. Responsible for coordinating with the facility manager for cost analysis to ensure supplies are being purchased from the best sources at the best pricing/quality.
- Invoices: Responsible for assisting the facility manager in cross-referencing invoices for independent contractors and vendors, ensuring their billable services were rendered prior to approving the invoice for payment.
- Property Maintenance: Coordinating and assisting the facility manager in tracking facility services and repairs, and completing facility walkthroughs daily. Ensuring the property is always hotel ready and GS/housekeeper/site techs are maintaining this level of cleanliness.
- Mail: Going through the mail daily, opening and responding to items.
- Petty Cash: Assisting the facility manager in managing and balancing petty cash weekly, ensuring adequate funds for outings.
- Outings: Planning Saturday outings and prepping the correct amount of petty cash for the outing; maintaining tracker.
- Organization: Responsible for ensuring all supplies, files, and the facility are extremely neat, organized, clutter-free and in excellent condition.
- A high school diploma or equivalent.
- 1+ year of office experience including answering phones, responding to emails, greeting clients, creating employee schedules, setting appointments, etc.
- First aid and CPR certification or willing to obtain prior to hire.
- Basic computer skills: word processing, spreadsheets, calendar, slide presentations, email, internet, etc.
- Excellent verbal and written communication skills.
- A detail orientation, analytical skills and a precise, meticulous approach, along with strong organizational skills and the ability to multitask.
- Excellent customer service skills.
- The ability to lift and carry objects and parcels that weigh up to 25 pounds.
- A valid California driver's license and the ability to pass and maintain a clean driving record check (MVR) in accordance with our company standards.
