The Doctors Company Administrative team has an opportunity for an Assistant Vice President, Facilities and Administrative Services. This position is located at our Napa, CA headquarters.
Position Mission
With minimal supervision this position is responsible for and manages, plans, organizes, supports, and administers assigned activities of Facilities and Corporate Administrative Services for the company on a national level. This includes vendor management, contracts, building systems, tenant and building improvements, corporate real estate, property lease negotiations and management, switchboard, mailroom, document imaging, purchasing, shipping and receiving, and the company corporate insurance program.
Responsible for budget development, implementation, and management for Corporate Administrative Services and Facilities Department. Assist with the development of business plans and operational plans annually tied to the strategic plan and the annual budget.
Qualifications
- Bachelor’s degree in business or seven (7) years work experience in Administrative Services and Facilities management and equivalent combination of education and experience required.
- Seven (7) years of Administrative Services management and facilities management experience.
- Experience in corporate insurance preferred.
- Ability to travel
Salary Range: $112,700 - $139,217
Responsibilities
Corporate Real Estate and Leases
- Provides broad business administrative background, experience, and knowledge of building management, lease negotiations, construction, space planning and office relocations.
- Maintains relationship with each of the leased properties office managers.
Facilities Management and Maintenance
- Manage and support the day to day operations for all facilities including, janitorial, security, landscaping, cafe, repair and maintenance and office improvements.
- Ensure maintenance and proper working order of all mechanical/electrical building systems to include HVAC, UPS, PDU, Generator and EMS; implements corrective action as needed.
- Maintain physical security to include access and camera systems. Manage fire life safety to include testing of equipment and evacuation and safety procedures.
- Management of the Administrative Centralized support functions including, mailroom, shipping, scanning, document storage, procurement, equipment maintenance and leases.
Budget Management
- Manage budget development, implementation, for Corporate Administrative Services and Facilities Department. Support innovative approaches and improvements.
- Reviews and analyzes financial reports.
- Provides regional support regarding yearly budgets and completes bi annual reviews with regional managers.
- Improve overall corporate efficiencies through standardization and centralization functions.
Corporate Insurance
- Work directly with The Doctors Company's broker, SVP's, and CFO on Property/General Liability and FINPRO renewals annually.
- Manage application process.
- Identify and reduce corporate risk.
Staff Management & Development
- Defines roles and responsibilities of direct reports.
- Coaches and mentors direct reports and supports the overall team to identify and achieve performance and development goals.
- Communicates and delivers ongoing/timely feedback to direct reports regarding their performance.
- Conducts quarterly 1:1 performance reviews.
Strategic Planning
- Ensures alignment with direct reports. Knowledge of Departments' and Company mid-to-long term strategic plans. Focuses on producing tactical results related to Facility's needs.
- Participate in the development of the company plan as it relates to future regional needs and company growth.
Other Duties as Assigned
- Assists with a variety of department and company-wide projects as assigned from Sr. Management.
- Makes oneself available for all duties.
- Accepts delegated tasks readily and completes assigned duties as directed
