This is an exciting opportunity for an experienced, customer-service focused Construction Administrator to work with the largest Building Envelope Construction Company in North America!
 
The Administrator role is a full-time, onsite position with the SERVICE Division of our Commercial Roofing department, with a 40-hour work week from 7:30-4:00 Mon-Fri (some flexibility on start and end time).  This position includes Full benefits including PTO, Paid Holiday, 401K & Health, Dental, Vision and Life Insurance.  We are looking for a positive attitude in a fast paced, environment.  This position is often the first contact our customers have with our company, Customer Service skills and friendly/helpful demeanor are required!  Must be self-motivated and organized! Proficiency with Microsoft Office Suite and web-base software are key to the success of this role as well.
 
A Day in the Life:
General and Project Administration:
       High volume file management and ensuring all information is updated and accurate.
       Collection and maintenance of customer contact and relevant information.
       Understanding the various roles of the service department to ensure all calls and information is directed to the correct person.
       Leadand track the service departments accounts payable and accounts receivables.
       Working with various people to ensure all related documents are present and readily available.
       Adding and including all paperwork and files into the service application data storage.  
       Preparation and management of various project related documents, such as work orders, quotes, purchase orders change orders, etc.
       Full cycle invoicing, which includes invoicing clients for completed work, as well as AIA billing.
       Management and accurate documentation of vehicle inspection reports.
       Preparing warranties as required.
       Requesting and providing project insurance requests.
       Creating and closing subcontracts and submitting pay requests.
       Track and report service inventory allocation.
       Other duties as required.
 
Field Support:
       Timecard collection and review and payroll back-up if required.
       Maintain employee paperwork for field personnel to ensure all necessary paperwork is provided and filed. 
       Ensuring CVOR logs are sent to Regional Health & Safety Manager each month.
       Other duties as required.
 
Skills/Qualifications of the Service Administrator include:
       Minimum of 2 years' experience in an administrative role; Construction environment considered a strong asset.
       Invoicing experience is considered an asset. 
       Must be organized and self-motivated with a sense of urgency.
       Ability to work in a fast-paced environment and be flexible.
       Able to prioritize competing deadlines and manage a high-volume workload efficiently.
       Courteous, professional, and customer service oriented.
