Job Summary:
The Administrative Support Specialist is responsible for providing clerical, administrative, and special event support for the Office of the President. Serves as the initial point of contact for internal and external parties. Providing a diverse range of office support, composing, and preparing materials, coordinating schedules, handling complex and confidential communications. Performing routine data entry work, oversees and/or participate in the coordination, control, and completion of special projects-and events. May serve on a variety of committees in a support capacity.
Duties/Responsibilities:
- Receive and respond to telephone and e-mail inquiries.
- Greet and assist visitors to the office.
- Distribute and control correspondence (incoming and outgoing letters, supplies, etc.)
- Serves as a primary point of contact and liaison with internally and externally.
- Utilizes knowledge and understanding of underlying operational issues to assist in administrative problem-solving.
- Organizes and facilitates meetings, conferences, and special events as requested, schedules and coordinates dates and times, and venues.
- Establishes and maintains files, records, and reports in easily accessible locations such as electronically on the shared drive, or hard copies in appropriate filing cabinets.
- Responsible for the administration, security, confidentiality, and retention of office files
- Request office supplies and inventory.
- Screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Assists in the coordination, control, and completion of special projects as requested.
- Performs other job-related duties as assigned.
Required Skills/Abilities:
- Proficient in Microsoft Office Suite and Google Suite
- Knowledge of general office practices and procedures including office equipment, computers, and computer software office applications
Education and Experience:
- High School Diploma or equivalent.
- Three years of experience as an Administrative Support Specialist or equivalent preferred
